Professional events, properly planned and managed.
Your association, company or committee has a professional event to deliver, and the work is bigger than the time your team can give it.

Hi, I'd like to discuss professional-event planning support. Help needed: Not decided Event type: Not decided Event area: Not decided Date: Not decided Approx. attendees: Not decided Reference: EV-0001 / en Page: https://eventconsultant.com.my/en/
The short answer
Conference and professional-event planning for Kuala Lumpur, Selangor and Seremban. A clear plan, an experienced project lead, or dedicated temporary support, working alongside your team and appointed suppliers.
You keep the decisions that belong to you: programme, budget and approvals. A project lead coordinates the people, dates and supplier handovers around them.
Three levels of support, side by side
Most organisers need one of three things. Choose by how much of the coordination you want to hand over, not by the size of the event.
| Level | What it is | Best when | Where the work sits |
|---|---|---|---|
| Event Blueprint | A planning pack: scope, brief, timeline, responsibilities, supplier requirements and handover documents. | Your team will run the event but needs a clear plan first. | Your team executes. The pack is the deliverable. |
| Outsourced project management | A project lead who coordinates decisions, people and supplier handovers for an agreed scope. | Several people share decisions and nobody has the time to chase them. | The project lead coordinates. You approve. Suppliers deliver. |
| Embedded event project manager | Dedicated temporary capacity that works as part of your team, on site or remote as agreed. | A vacancy, a peak period or a large programme needs a named person inside the team. | The manager works inside your structure, under your direction. |
Professional-event formats covered
The work centres on events where the programme and the audience matter as much as the logistics.
Who it is for
- Association and professional-body secretariats delivering a conference alongside normal member work.
- Committee chairs who want to keep programme control while someone coordinates operations.
- Corporate communications and conference owners coordinating internal stakeholders and existing suppliers.
- Professional-learning teams whose logistics are crowding out programme development.
- Finance and procurement teams who need a defined scope they can approve and compare.
- Event agencies that want white-label project support under their own client relationship.
What stays with you
Appointing a project lead does not move ownership of the event. Your committee or organisation keeps the programme, the speakers, the budget approval and the relationship with members, delegates and sponsors.
Specialist suppliers keep the work they are qualified for, such as venue operation, audio-visual production, catering and registration systems. The project lead coordinates them and does not replace them. The full split is set out in who does what.
How an engagement starts
- Send a short event brief: format, area, approximate date window, approximate attendance and the help you are considering. Undecided items can be marked undecided.
- The brief is reviewed for fit with the three support levels and the coverage area.
- A scope and a quotation are prepared for the level that fits, with the factors behind the fee explained. See fees and quotations.
- Work begins once the scope is agreed in writing.
Useful before you contact anyone
Plan with the event planning tools and the resource library, then submit an event brief when you want to talk about support. Nothing on the site is locked behind an enquiry.

Checklist: what to have ready before briefing any event provider
This list works for any provider, including your own team. Write Not decided against anything still open.
- Purpose of the event and what should be different afterwards.
- Audience: who attends, how they are invited, approximate number as a range.
- Format being considered and the date window, including dates to avoid.
- Area or locations under consideration.
- Who approves the programme, the budget, speakers and suppliers.
- Budget position: approved, indicative or not yet set, and who approves more.
- Suppliers, venues or sponsors already appointed or promised.
- What you want an outside lead to own and what stays in-house.
- Open questions, each with an owner and a decision date.
Handle it in-house, or bring in help?
Your team can usually handle this when
- One person has the time to chase decisions and suppliers.
- The format is familiar to your team from earlier editions.
- Your committee already agrees on purpose, audience and budget route.
Outside planning help earns its fee when
- Several committees or departments each own part of the decision.
- The person who ran the last event has left and little was handed over.
- Finance or procurement needs a defined scope before spending is approved.
Ready to describe your event?
Share the format, area and date window, and say which level of support you are weighing. Where details are not decided, mark them as open. The reply will say which of the three levels fits and what a scope would need to cover.
Questions organisers ask
Do I have to decide the support level before I enquire?
No. Many organisers are still comparing a plan, a project lead and temporary capacity. Describe the event and the pressure on your team, and the fit can be discussed from there.
Which areas are covered?
Kuala Lumpur, Selangor and the Seremban area including Nilai. On-site attendance is agreed for each brief. Enquiries from elsewhere get a fit assessment.
Does the project lead take over the event?
No. Programme, budget approval and member or delegate relationships stay with you. The project lead coordinates actions, dates and supplier handovers within an agreed scope.
Can I use the planning tools without enquiring?
Yes. The tools and guides are open to use, and results can be exported without contacting anyone.
