Event manager engagement selector
Your team is stretched, outside help is on the table, and you want to choose the smallest form of it that does the job.
…
The short answer
The selector follows a fixed decision tree from your answers: documents, planning leadership, extra dedicated capacity, production specialists and timing. It names the closest fit and gives the reasons.
The same answers always give the same result. When your team needs no outside help, the result says to deliver it yourselves.
The questions
- Documents: do you need a planning pack such as scope, brief, timeline, responsibilities and supplier requirements?
- Leadership: do you need someone to lead planning and chase decisions?
- Capacity: does the team have no spare time, so you need dedicated hands for a period?
- Production specialists: do you need AV, staging, translation, security or medical specialists?
- Timing: is there room to plan, or is the date fixed with work behind?
How the tree decides
Extra dedicated capacity points to a temporary embedded event project manager. Leadership without extra capacity points to an outsourced conference project lead. Documents alone point to a planning pack, the Event Blueprint. No needs at all points to self-delivery.
If you are not sure about a need and nothing is clearly yes, the tree suggests a short planning diagnostic first. Timing adds a note and, for documents alone, shows the project lead as an alternative. It never changes the main fit.
Specialists are a referral
If you need production specialists, the result flags a specialist referral. Coordination can be arranged around them, but this help does not supply technical production.
Ask specialists for written scope and quotes, and keep their requirements in your plan.
Limits
The selector does not know your budget, the fees or anyone's availability. It is a fit guide, not a quote or an offer.
Once you have a direction, firm up the open decisions in your readiness checklist and size the gap with the capacity gap estimator.
Worked example · Fictional example
A fictional professional body
Fictional organisation and answers, to show the reasoning.
A fictional professional body needs planning documents, no leadership, no extra capacity and an AV specialist, and there is plenty of time. The tree recommends a planning pack as the closest fit.
It also flags a specialist referral for the AV need, and adds a note to settle open decisions before committing to suppliers. If the date were tight, it would mention a project lead as an alternative without changing the main fit.

Engagement fit questions
Answer each question, then read across to the likely fit. Keep the reasons with your decision record.
- Do we need planning documents? If yes and nothing else, a planning pack fits.
- Do we need someone to lead planning and chase decisions? If yes, a project lead fits.
- Does the team have no spare time? If yes, temporary dedicated capacity fits.
- Do we need production specialists? If yes, plan a specialist referral and coordinate around it.
- Is every answer no? Then deliver it with the team and skip outside help.
- Are we unsure about a need and sure of none? Start with a short planning diagnostic.
Handle it in-house, or bring in help?
Your team can usually handle this when
- Your team has the time, the decisions are made and only routine coordination remains.
- A single document or template would close the gap.
Outside planning help earns its fee when
- Leadership is missing and decisions keep slipping.
- There is no spare team time for a period of the project.
- You cannot tell which kind of help you need and want a bounded review first.
Want to start with a planning pack?
An Event Blueprint sets out scope, brief, timeline, responsibilities, supplier requirements and handover documents. It suits teams that can run the work but need it written down and agreed. If the selector points elsewhere, the same conversation can move to a project lead or an embedded manager.
Questions organisers ask
Will the tool always suggest the biggest service?
No. If you need no documents, leadership or extra capacity, it recommends delivering the event yourselves.
Does the answer change if I ask twice?
No. The same inputs always give the same recommendation and reasons.
Can this service supply AV or staging?
No. Production specialists are a separate referral. Coordination can be arranged around them.
