Managing accounting software sponsors beside independent sessions

Accountants attend to learn, and they notice quickly when a vendor session is dressed up as independent teaching.

The short answer

Decide before any sponsor is confirmed what sponsors may have, what the programme committee controls alone and how each is labelled. Write the boundary down, give it to sponsors and speakers, and apply it the same way to every sponsor.

Whether sponsorship, disclosure or independence rules apply to a particular professional programme is a question for the professional body or the organiser's own adviser. This page covers the coordination, not the rules.

Two kinds of session, kept apart

An independent session is chosen by the programme committee and led by speakers who are not selected by a sponsor. A sponsored session is offered to a sponsor, and is led by their choice of speaker on their chosen subject.

Both can be valuable. Problems arise when the two look the same in the programme, when sponsors influence topics or speakers in independent sessions, or when a vendor demonstration is described as neutral.

Setting the boundary

  1. The committee agrees a short written statement of what sponsors may and may not influence.
  2. The statement is attached to every sponsor agreement and briefed to every sponsor contact before they commit.
  3. Sponsored sessions are labelled and scheduled outside the core independent sessions.
  4. Every speaker, sponsored or independent, is briefed on neutral language and on how product mentions are handled.
  5. Any request to change the boundary goes to the committee and is recorded in a decision log.

Questions for the professional body and committee

  • Are there rules or expectations on disclosing sponsorship in programme material?
  • May a sponsor's employee speak in an independent session, and if so how is that disclosed?
  • What approval does the committee want over sponsored session content?
  • May delegate lists or contact details be shared with sponsors, and how is consent handled?
  • Who answers a complaint that a session was not as described?

What the organiser coordinates

The organiser coordinates the calendar, the labelling, the briefing and the record. Securing sponsors and agreeing their terms are separate matters handled by the organisation itself.

The organiser also checks that signage, the app and the programme page apply the same labels.

Worked example · Fictional example

A fictional accountancy conference with three software sponsors

The fictional Persatuan Perakaunan Contoh has a two-day conference of about 300 delegates, three accounting software sponsors and eight independent sessions chosen by the committee.

The committee adopts a one-page boundary statement. Sponsors may run one 30-minute sponsored session each, placed in the lunchtime slots, labelled "sponsored session". The eight independent sessions carry no sponsor names.

One sponsor asks to nominate a speaker for an independent session on digital reporting. The committee declines, offers a sponsored slot instead and records the decision. All three sponsors acknowledge the statement before confirming.
