How to run an event shift handover

One crew finishes, another starts, and the knowledge of what is half-done is about to walk out of the door.

The short answer

A shift handover is a short, scheduled, face-to-face exchange with a written record. The outgoing person says what is done, what is open, what changed and who to call. The incoming person repeats it back and signs off that they hold the post.

Schedule it as an overlap in the roster, not as a favour at the end. If the post has no overlap, it has no handover.

Build overlap into the roster

Give each handover a time and a place before the day. Ten to fifteen minutes of overlap between outgoing and incoming is a common starting point, adjusted to the complexity of the post.

Use the shift and break planner to see that no post is uncovered during the changeover, and that the person leaving is not also the only person covering a break.

What the outgoing person passes on

  • Status: what is running and what has been completed.
  • Open items: anything started and not finished, with the next step and who owns it.
  • Changes: anything different from the run-of-show or the briefing, and who agreed it.
  • Issues and incidents: what happened, what was done, what is still unresolved.
  • Equipment and items: keys, radios, lists, badges and lanyards, and where each is.
  • Contacts: supervisor, venue, supplier lead, and who has authority to decide.

How the incoming person confirms

  1. Read the written handover form while the outgoing person is still present.
  2. Repeat back the open items and the next step on each.
  3. Check that equipment and lists are in hand and working.
  4. State out loud that they hold the post, then sign or message the supervisor.
  5. Only then does the outgoing person leave.

Record it where the supervisor can see it

Use one shared form or one thread per post, not private messages. The supervisor should be able to read the last three handovers at a glance.

Keep the form short. A form that takes ten minutes to fill in will be skipped when things are busy.

Pitfalls

  • Handover by text message at the last minute, with no overlap.
  • Sharing everything and flagging nothing. Put open items and risks at the top.
  • Safety or incident matters handled informally. Route them to the competent party named in your briefing and record only that they were reported.
  • A supervisor who is also on a fixed post, so nobody can receive the handover.

Registration desk changeover

Fictional organisation and details. Times are hypothetical and show only the structure of a handover.

At a fictional seminar, the registration desk changes from the morning pair to the afternoon pair at 12:30. The roster shows a 15-minute overlap, and the outgoing lead completes the form below as the incoming lead reads along.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • A single-day event with a small crew and a supervisor on site.
  • Overlap is easy to build into the roster.
  • The posts are simple and a short form is enough.

Outside planning help earns its fee when

  • Supplier crews, volunteers and your staff hand over to one another across several rooms.
  • The event runs over several days or long hours with changing crews.
  • No one currently owns the handover record or checks that it is done.

Questions organisers ask

How long should a shift handover take?

Long enough to cover status, open items, changes, issues and contacts, and for the incoming person to repeat them back. Ten to fifteen minutes is a common starting point; adjust to the post.

Does the handover have to be written?

Yes, even if brief. A written record stops items being lost when people are busy, and lets the supervisor see patterns across shifts.

What if there is no overlap possible?
