Different teams use conflicting guest lists

The registration desk, the protocol team, the sponsor liaison and the caterer each hold a different list of who is coming.

The short answer

Pick one master list with one named owner, then reconcile every other list against it once, line by line, with the differences written down. Until that is done, each team should say which list it is using.

Who has authority to decide

The secretariat head normally owns the master list, and the chair owns the invitation categories. Each sponsor agreement, read by the person responsible for it, sets what that sponsor may bring. Whether lists may be copied, emailed or printed is a privacy question for your data protection contact or adviser, not something the event team decides.

Record the owner and the change rule in a decision log so that late additions go through one door.

Communications: who says what to whom

Tell the four team leads the same message at once: one list, one owner, one change rule and one date. Tell suppliers the date they will receive a confirmed number, not a draft number.

Tell guests nothing new unless a name is being removed. If a guest was promised a place that is not on the master, the chair or sponsor owner speaks to them, not the desk.

  • Short message template: From today the master guest list is held by [owner]. Please stop editing your own copy and send changes to [owner] by [date]. We will send the reconciled list and one confirmed count on [date].

Follow-up and preventing a repeat

  • Keep the reconciliation record: every difference and how it was resolved.
  • Record the final count and who confirmed it, and send that figure to suppliers in one message.
  • Create the master from the registration system next time, with a rule that other lists are views of it.
  • Ask the data protection contact to confirm how guest lists are retained after the event.

Persatuan Fiktif Jurutera: four lists, one master

Fictional organisation and figures, written to show the level of detail that is useful.

A fictional engineers' association finds that its desk list shows 280 names, protocol 45, sponsors 60 and the caterer 310. The secretariat head names the registration system as master and sets a rule that changes go to one coordinator by a fixed date.

The coordinator finds 24 names on two lists and 11 on none. The chair approves removing three duplicates and adding the 11 as invited guests. The caterer receives one confirmed count and the desk receives a filtered list. The relevant privacy question about copies goes to the association's data protection contact.

Questions organisers ask

Which list should be the master?

Usually the registration system, because it records who actually registered. If protocol invitations never pass through it, add them as a category with a clear source.

Can we email the master list to everyone who needs it?

Ask your data protection contact first. Often a filtered view with only the columns each team needs is easier to justify than the full list.

What if a sponsor insists on a different number?

Check the sponsor agreement with the person responsible for it, then record the entitlement on the master list so every team sees the same figure.
