Event music licensing questions to ask

The gala dinner needs a band, the opening video has a soundtrack, and nobody has asked who licenses any of it.

The short answer

List every moment music is played at the event, who supplies it and in what form, then take that list to your legal adviser and the venue with a fixed set of questions. Do not assume the venue, the band or the AV supplier has covered you.

Who answers what

The venue can tell you what its own arrangement covers. The performer or agency can tell you what is in the contract. A legal adviser can say what applies to your event and what to obtain. Bodies that manage music rights can tell you how their process works.

Do not rely on a verbal assurance. Ask for the answer in writing and file it with the content ownership matrix.

Record and review

Add a music row to each recording release workflow so recordings are not released before the music question is answered. If the soundtrack of a video changes, treat it as a new version and recheck it with the materials and translation-version checker.

A fictional awards dinner with four music uses

Fictional organisation and figures, illustrative only.

A fictional trade association mapped four music uses: a walk-in playlist, a sponsor video with a soundtrack, a live band and a livestream. The secretariat sent the four rows to its legal adviser and asked the venue what its own arrangement covered.

The sponsor video's soundtrack had no recorded source, so the sponsor was asked to confirm it or supply a version without music. The livestream was held until the adviser's reply was filed.

Questions organisers ask

Does the venue's licence cover our event?

Ask the venue what its arrangement covers, for which uses and which spaces, and ask for the answer in writing. Take it to your legal adviser to confirm what remains.

Is music in a video different from a live band?

They are separate uses and may be answered differently. List them as separate rows and ask each question for each.

What if the answers do not arrive in time?

Ask the decision owner whether to drop that music use, replace it or hold it until confirmed. Record the decision and date.
