Announcing a change of event venue

The venue has changed, people have already made plans around the old one, and the first message has to be right.

The short answer

A venue-change announcement leads with the new place and what the reader must do, then says what stays the same and what has changed. Confirm the new venue's details in writing before you announce anything, and tell your audiences in an order you have agreed.

State only what is confirmed. Where a detail is still open, say when you will confirm it.

Confirm the facts before you write

  • The new venue's name, address and the entrance and room for the event, confirmed in writing by its event contact.
  • Whether the date and times are unchanged, and what the new venue needs for set-up and access.
  • Which programme elements, catering, accessibility arrangements and supplier bookings move with you, and which need re-confirming.
  • Whether the contract with the old venue allows the change and what it means for deposits. These are questions for whoever signs for your organisation and, where relevant, its legal adviser, not for the announcement.

What the message says

Lead with the change: the event is now at the new venue, on the same date and time unless stated. Then give the reason in one factual sentence, only if you are free to say it, and the next step for the reader.

Add what has changed in a short list, such as entrance, parking and access, and what has not. Say when revised joining instructions will follow.

After the announcement

  1. Update every place the old venue appears: website, registration confirmation, badge text, signage requests, supplier briefs.
  2. Log each question and answer so replies stay consistent.
  3. Check the new venue's entry and queueing arrangements against your arrival plan, using the check-in estimator if the desk set-up changes.
  4. Send revised joining instructions once the new venue has confirmed them.

A seminar moved to another hotel

A fictional professional institute learns three weeks before a one-day seminar that its booked ballroom is unavailable. The secretariat obtains written confirmation of a replacement room from another venue, with the same date and times, before telling anyone.

It tells the committee first, then speakers, sponsors and delegates over one working day, and sends revised joining instructions after the new venue confirms entrance and load-in details.

Should we announce before the new venue is confirmed?

Wait for written confirmation unless people are about to travel. If you must tell people early, say what is confirmed and when you will confirm the rest.

Do we have to explain the reason?

Give a reason only if you are free to, and keep it one factual sentence. Readers mainly need the new place and what to do.

Can delegates ask for a refund after a venue change?

That depends on your own registration terms. Ask your organisation's signatory or legal adviser what applies before you answer.
