Keeping a consistent sponsor package across different local stops

A sponsor has been promised the same visibility at every stop, but each venue offers different space and different rules.

The short answer

Sort every sponsor benefit into three lists: committed at every stop, available only at some stops, and conflicting with another sponsor or a venue rule. Write only the first list into the package as a promise.

Check the conflicts in the sponsor rights and exclusivity conflict checker. This page covers coordination of the package, not selling sponsorship or any income claim, and a standing series can sit under recurring programme management.

Why one package drifts across stops

A package written around the first venue's space gets copied to later stops that cannot honour it. The obligation matrix lets the committee see, benefit by benefit, where a promise holds everywhere and where it depends on the stop.

What to verify for each stop

Each check is a question with who answers it.

  • Which benefits does this venue allow, and does it restrict signage, banners or branded materials? Answered by the venue.
  • Does this stop have its own exhibitor or sponsor arrangement that conflicts with ours? Answered by the venue and the stop host.
  • Which benefits are exclusive, and does exclusivity apply per stop or across the series? Answered by the committee and the sponsor, in the agreement.
  • Does any sponsor material need a local authority or building approval, such as signage? Answered by the venue and the council for that address; this page does not state a requirement.
  • Who confirms, in writing, that a benefit was delivered at each stop? Answered by the organiser.

How the stops differ for this decision

The verifiable difference is the venue's rules and the authority behind the address. Kuala Lumpur addresses start at DBKL, Subang Jaya at MBSJ and Seremban at MBS, whose public material includes Nilai. Signage and branding rules are for the venue and the relevant council to state, so a benefit allowed at one stop cannot be assumed at the next.

Worked example · Fictional example

A fictional three-stop series

Fictional organisation and figures, for illustration only.

A fictional professional association lists eight sponsor benefits. Five are committed at every stop, two depend on the venue allowing banners, and one conflicts with a venue's own supplier at stop three.

The package promises the five and treats the other three as stop-specific, with the conflict raised before signing. All numbers are illustrative.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • A small package of simple benefits and venues that confirm space and rules in writing.
  • One person owns the matrix and the sponsor relationship.

Outside planning help earns its fee when

  • Benefits depend on venue space that differs by stop.
  • Exclusivity could clash with a venue's own arrangements.
  • A sponsor asks for the same package at every stop and the committee is unsure what it can honour.

Want the obligation matrix built and tracked?

A project lead can build the matrix with your committee, put the venue questions to each stop and track what is delivered. This is coordination of the package. It does not include selling sponsorship, finding sponsors or any income claim. If recurring programme management is unavailable for your dates, the same work can be scoped as an outsourced conference project lead.

Questions organisers ask

Which benefits can be promised at every stop?

Only those every venue has confirmed in writing. Others are stop-specific.

What if a venue refuses a benefit?

Mark it stop-specific or conflicting, and tell the sponsor before signing.

Does this page help sell sponsorship?

No. It coordinates what is already agreed so each stop delivers it.

Is there a local office?

No office is claimed. On-site arrangements are agreed for the particular brief.
