Preparing a wet-weather arrival fallback for the booked venue

A venue is booked and the committee wants a plan for attendees arriving in heavy rain, without guessing what the venue offers.

The short answer

Ask the venue, in writing, what covered routes and assisted-arrival options exist from each arrival point to the registration desk, then record the answers in the event accessibility action tracker. Walk the route at a site visit and note what you saw and when.

This page makes no weather prediction and gives no safety clearance. The weather warning source is for you to check close to the date.

Plan from the venue's confirmed facts

List each way attendees arrive, such as car park, drop-off point, ride-hailing pick-up and public transport exit, and ask the venue what is covered between each point and registration. An answer of not sure is recorded as unconfirmed.

Decide in advance who does what if rain arrives: who holds umbrellas or signage, who assists people who need help, and who tells attendees where to go.

What to verify for a wet-weather arrival plan

Each check is a question with who answers it.

  • Which arrival points exist and which routes to registration are covered? Answered by the venue, in writing, then seen at a site visit.
  • Is there an assisted-arrival option for attendees who need help, and who staffs it on the day? Answered by the venue and the organiser, in the plan.
  • Who may place signage or staff at the entrance, and what does the venue require? Answered by the venue.
  • Where do wet items go, and is there floor protection at the entrance? Answered by the venue.
  • What trigger starts the fallback, and who decides? Answered by the organiser, as a named owner who checks the MET Malaysia warnings page close to the date.

How the areas differ for this decision

The plan depends on the individual venue, not the area. The area-level checks are administrative and separate: a Kuala Lumpur address starts at DBKL, a Petaling Jaya address at MBPJ, and a Seremban or Nilai address at MBS, whose site lists Bandar Nilai among its towns.

MET Malaysia is the national source for warnings and forecasts. It is something to check, and this page does not use it to predict conditions.

Worked example · Fictional example

A fictional arrival plan

Fictional organisation and figures, for illustration only.

A fictional training provider books a venue with two arrival points. The venue confirms in writing that one has a covered route to registration and the other does not.

The plan directs attendees to the covered route, places one staff member at the other point with signage, and names the person who checks the weather warning page the day before. All details are illustrative.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • A venue that confirms a covered route from every arrival point.
  • A small event with few arrivals and a site visit already done.

Outside planning help earns its fee when

  • The venue has several arrival points and its answers are unclear.
  • Attendees include people who need assisted arrival and nobody owns it.
  • The committee wants the fallback written and owned before invitations go out.

Want the arrival fallback documented for your venue?

A planning diagnostic can review the venue's answers, set up the evidence plan and assign owners for each arrival point. It reports what it finds. It does not forecast weather and does not certify safety or accessibility. Send the venue details and your site-visit notes.

Questions organisers ask

Will the plan predict rain?

No. It records what the venue confirms and who acts. Check MET Malaysia for warnings.

Does this certify the route as safe?

No. Safety and accessibility questions go to the venue and competent parties.

Who should walk the route?

The organiser, with the venue contact, noting date and time.

Is there a local office?

No office is claimed. On-site arrangements are agreed for the particular brief.
