The short answer

Tag every line of the old brief as one of three types: programme decision, place fact or date fact. Only programme decisions travel with the copy; the rest are cleared and rechecked, using the conference materials and translation-version checker to catch stale text.

Cleared lines stay visibly blank until a new source fills them. A guess is never a placeholder.

Separate decisions from evidence

A programme decision, such as the session format or the registration questions, is yours and can be reused. A place fact, such as an entrance, a room name or a contact, belongs to the old venue. A date fact, such as a quoted rate or a holiday, belongs to the old date.

Mark each line before copying, not after.

What to verify before reusing the brief

Each check is a question with who answers it.

  • Does any line name a venue, room, entrance, loading route or contact from the earlier edition? Answered by the brief owner, line by line.
  • Does any line quote a rate, capacity or availability? Answered by the new venue, in writing for the new date.
  • Does the brief name an authority or approval route? Answered by the organiser from the new address. DBKL, MBPJ and MBS publish their own portals.
  • Do attachments, maps, signage or translated versions repeat old details? Answered by whoever produced each file.
  • Who signs off the new version, and where is the old one archived? Answered by the committee chair.

How the target areas differ for this decision

Reusing a brief across areas is risky because the authority, the venue and the contact all change together. A Kuala Lumpur address starts at DBKL, a Petaling Jaya address at MBPJ, and Seremban or Nilai at MBS, whose site lists Bandar Nilai among its towns.

Reusing it for a different date at the same venue changes fewer facts, but quotations and availability still need to be reconfirmed.
