Planning an engineering conference with a masterclass

An engineering association wants a conference and a hands-on masterclass in the same week, and the two audiences only partly overlap.

The short answer

Decide whether the masterclass is a side event, a pre-event day or a paid add-on, then plan its registration, room, equipment and timing as its own small event. Link the two through one calendar and one set of rules for who goes where.

Technical content, equipment safety and any professional recognition of the masterclass are for the instructors and the relevant body to confirm.

Registration and eligibility

Decide whether the masterclass needs a separate registration, a limited number of seats and entry requirements such as prior experience. Ask the instructor what the entry requirements are and who checks them.

Make the two registration paths and the combined option clear on one page.

Rooms, equipment and materials

  • Ask the instructor for equipment, power, bench space and consumables, and what delegates must bring.
  • Ask the venue about floor loading, ventilation, power supply and any rules on tools or materials in the room.
  • Decide who sources and returns equipment, and who is responsible if it is damaged.
  • Plan a safe area for instructor materials overnight if the masterclass runs over more than one day.

Sequence for the organiser

  1. Confirm the model, dates and the lead instructor with the committee.
  2. Collect the instructor's requirements as a written list.
  3. Check the venue and the equipment supplier against that list.
  4. Open registration with separate seats and a combined option.
  5. Run a walkthrough of the masterclass room the day before, including timing for breaks and set-up.

Worked example · Fictional example

A fictional pre-conference masterclass

Fictional organisation and figures, for illustration only.

A fictional precision engineering association plans a two-day conference for 300 delegates and a one-day masterclass for 24 the day before. The instructor needs six benches and measuring tools.

The venue's hall cannot hold benches and also offer the ventilation the instructor wants confirmed. The committee moves the masterclass to a workshop room at a training centre nearby, adds a shuttle slot, and publishes a separate registration page. Delegates who attend both receive a combined schedule.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • The masterclass is small, in-house and uses ordinary classroom equipment.
  • The instructor has run it before and has a written requirements list.
  • The venue is familiar and has a suitable room.

Outside planning help earns its fee when

  • Heavy equipment, hands-on work or special venue needs.
  • Two audiences, two registrations and shared travel.
  • Instructor, venue, equipment and committee decisions must be coordinated.

Need the conference and masterclass planned together?

A conference project lead can turn the instructor's requirements into a venue brief, coordinate registration paths and a combined schedule, and keep the instructor, venue, equipment supplier and committee aligned. Technical content and safety conclusions stay with the instructor and the relevant authority. Send your dates, audience sizes and the masterclass requirements.

Questions organisers ask

Should the masterclass be before or after the conference?

It depends on audiences and the venue. A pre-conference day often suits delegates who travel in, but check travel and accommodation.

Who checks safety of equipment?

The instructor and the venue, together with any authority they name. The organiser asks for written confirmation.

Can masterclass delegates attend the conference free?

That is a commercial decision for the committee. State the rule on the registration page.

Can we count the masterclass for professional recognition?

Ask the relevant professional body what applies and what evidence it needs. Do not advertise recognition until confirmed.
