The short answer

A proof test sends the real message, in its real form, to a few test addresses and checks every fact in it against one master document before the full list receives it.

Check what a recipient sees, not what the editor shows: the subject line, the sender name, the time, the place, the links and the attachments, on a phone and on a computer.

Start from one master

Pick a single master source for date, time, venue, room, registration desk time, dress note and contact route. Every message is checked against it, and corrections go into the master first.

If the programme is still moving, decide who may change the master and how everyone is told.

Run the test in order

  1. Freeze the draft and note the version.
  2. Send to three or four test addresses on different devices and mail apps.
  3. Two people who did not write it read the received message against the master.
  4. Record each fix and resend the test after any fix.
  5. Get the named approver to approve the exact version, then send to the list.
  6. Keep a copy of what was sent and when.

Worked example · Fictional example

A secretariat proof-tests joining instructions for a members' forum

Fictional organisation and figures, for illustration only.

A fictional trade association sends joining instructions to 180 registered members. The test message shows the start time as 8:30 while the master says 9:00, because an earlier draft was copied.

A link to the venue map also opens an older page. Both are fixed in the master and the draft, the test is resent, and the approver signs off the second version. The full list receives only that version.

Questions organisers ask

How many test addresses are enough?

Three or four, on different devices and mail apps, so you see how the message looks on a phone and on a computer. The aim is to catch layout and link problems, not to measure anything.

Who should be the second reader?

Someone who did not write the message and who knows the event well enough to spot a wrong detail, such as the programme owner or a committee secretary.

What if we need to send a correction after the message goes out?

Send the correction promptly to the same list, say plainly what changed, and update the master. Then add the cause to your decision log so the next send is tested against it.

Does this replace checking consent and privacy rules?

No. It checks content. Whether you may send a message to a given list is a question for the person responsible for personal data in your organisation.
