Event member registration verification
Member rates and member-only sessions depend on membership, and someone has to check it without slowing everyone down.
The short answer
Member verification needs a source of truth, a moment to check, a named person who decides exceptions and a way to protect the list. The source is usually the membership list held by the secretariat, matched on a membership number plus name or email.
Check before confirmation if the member rate or access matters, and accept that this adds a step. Check after confirmation only if you are prepared to re-price or move delegates found ineligible.

Decisions to settle first
- The date on which membership is judged: registration, payment or event day.
- How lapsed or pending renewals are treated, and who may grant a grace period.
- Who decides exceptions, such as honorary members or a colleague of a corporate member.
- What happens when a registrant is not found: wait for review, offer the non-member rate, or ask for evidence.
- How quickly checks are done, since delegates waiting for confirmation may drop out.
Protect the membership list
A membership list is personal data held for another purpose. Ask your data protection contact how it may be used for checking, where a copy may be kept, who may see it and when it should be deleted. Prefer to check against the list where it is held rather than copying it into the registration system.

A simple verification routine
- Registration arrives with category set to member and a membership number.
- The checker looks up the number and compares the name.
- If matched, mark verified with the date and checker's initials.
- If not matched or unclear, hold the registration and send the delegate a short, neutral message.
- If still unclear after the agreed period, pass it to the person who decides exceptions.

A secretariat verifies members for a members-only session
Fictional organisation and figures, written to show the level of detail that is useful.
Persatuan Fiktif Pegawai Pematuhan receives 95 member registrations in a week for a member-priced seminar. One checker, with a named cover, compares each membership number with the list and marks verified.
Seven cannot be matched. Four turn out to be renewals processed late, which the membership secretary confirms. Three are colleagues of a corporate member and are passed to the chair, who decides they register at the non-member rate. Delegates are told within the agreed period.
