The short answer

An emcee script should have one drafter, named reviewers for each type of content, a version number and a lock time. After lock, only one named person can change it, and everyone else sees the change.

Content that touches legal, regulatory or accreditation matters goes to the competent party as a question, not decided by the script approver.

What the script contains

  • Welcome, housekeeping and closing remarks.
  • Introductions for each speaker, with title and pronunciation.
  • Links between sessions, with the time they are tied to in the run-of-show.
  • Acknowledgements and sponsor mentions in the agreed wording.

How to run the approval

  1. Draft from the run-of-show and the speaker details already confirmed in writing.
  2. Send the draft to each approver with their lines highlighted and a reply-by date.
  3. Collect corrections in one document and issue a numbered version.
  4. Run a read-through with the emcee, including a pronunciation check with the speakers or the secretariat.
  5. Lock the script and share the locked copy with the emcee, show caller and stage manager.

Changes on the day

  • Name one person who may approve a change, usually the project lead or secretariat head.
  • Write the change on the show caller's copy and tell the emcee in the agreed way.
  • Keep the old version so a mistake can be traced.

Worked example · Fictional example

Association annual dinner with two sponsors and an award

Fictional organisation and figures, for illustration only.

Persatuan Perkhidmatan Fiktif has a two-hour dinner with a Malay and English emcee. Two sponsors are thanked and an award is presented to a senior member.

The secretariat sets a lock time two days before the dinner. At the pronunciation check, the emcee learns that a speaker's title changed that month, and the correction is made in version 3. The sponsors' wording is taken from their own emails. A request for a late sponsor mention on the day is approved by the secretariat head and noted on the show caller's copy.

Should the emcee write the script?

When should the script be locked?

Pick a time before the event that suits the programme, such as two days before, and tell all approvers. Later changes follow the day-of-event route.
