Clarifying claimable-course responsibilities before marketing an event

Your training event may be claimable under an employer levy or a funding scheme, and the brochure is due before anyone has agreed who confirms that.

The short answer

Before any advertising goes out, write down who confirms eligibility with the funding or approving body, who holds the approval paperwork, who writes the wording used in marketing, and who handles participants' claim questions. Marketing should repeat only what the responsible party has confirmed in writing.

The event organiser coordinates dates, venue, materials and records. Whether a course qualifies, and under what conditions, is for the funding body and the training provider's own compliance owner to confirm.

Why this has to be settled before marketing

A brochure or web page that says a course is claimable creates an expectation. If the approval is still pending, or applies to a different date or format, participants and their employers will ask the organiser first.

The work is therefore to separate what is confirmed from what is hoped for, and to name the person who can confirm it.

A safe marketing sequence

  1. Hold all claim-related wording until the approval owner confirms it in writing.
  2. Publish the event with facts you control: date, venue, programme, trainer, fee.
  3. Add the claimability sentence only in the exact words approved, with the approval holder named internally.
  4. Review the wording again whenever the date, venue, trainer or format changes.
  5. Give the registration team a short answer sheet and one escalation contact for claim questions.

Where the event team's work ends

The organiser can keep the master record of what was promised, when and by whom. It cannot decide eligibility, interpret scheme rules or promise that a claim will succeed.

If the same session runs for several groups, keep the claim wording consistent across runs using planning repeat professional-learning sessions across cohorts.

  • Is approval tied to one trainer or one venue, and what if either changes?
  • Does a hybrid or online option need its own confirmation?
  • What records must exist after the event, and who signs them?

A fictional provider holds a brochure until approval is confirmed

Akademi Fiktif Profesional plans a one-day compliance workshop for 60 participants and wants to say it is claimable. Its compliance owner replies that approval covers the workshop title and the named trainer, but not the online option.

The programme owner approves one sentence for the brochure, adds a line saying the online session is being confirmed, and sets a rule: any change of trainer triggers a new check before it is announced.

The registration team receives a three-line answer sheet and one escalation contact. Marketing goes out two days later than first planned, with no wording the provider has not signed off.

  • Marketing wording can wait for written confirmation.

Can the event organiser say a course is claimable?

Only in words the responsible party has confirmed in writing. Eligibility is decided by the funding or approving body and managed by the provider, not by the organiser.

What if approval arrives after tickets are on sale?

Sell on facts you control and state clearly that approval is being confirmed. Update the wording only when the written confirmation arrives.

Who keeps the approval paperwork?

Agree one holder, usually the provider's compliance owner, and give the event team a copy of the parts it needs, such as the approved title and dates.
