Independent event lead or agency account manager?
Two people could be your day-to-day contact for the conference, and they work in very different structures.
The short answer
An independent event lead works for you and is accountable for the coordination scope you agree. An agency account manager works for the agency and manages your account, usually passing work to the agency's production, creative or operations teams.
Ask who actually does the work, who holds the supplier contracts and who you can reach. The title tells you less than those three answers.
What changes with each contact
| Question | Independent event lead | Agency account manager |
|---|---|---|
| Who employs them? | They work for you under an agreed scope. | The agency, whose interests include its own services. |
| Who does the work? | The lead and the suppliers you appoint. | The agency's teams, with the account manager as contact. |
| Supplier choice | Yours, informed by requirements and quotes. | Often from the agency's network. |
| Cost visibility | Supplier costs are separate and visible. | Depends on the agency's pricing model. Ask to see it. |
| Continuity | Depends on one person's availability. Ask about cover. | Another team member can step in, but your contact may change. |
| Buying consequence | You buy named accountability and independence. | You buy a bundled service and a single account contact. |
When an independent lead fits
- You want to choose and contract your own suppliers.
- You need someone on your side to challenge supplier quotes.
- The event is mid-size and your team wants to retain visible control.
When an agency account manager fits
- You want one agency to supply planning, production and delivery.
- Your team wants to hand over most of the delivery work.
- The event is large enough that a bundled team makes sense.
Ask for named cover either way
An independent person is a single point of failure, and an account manager can change. Ask what cover exists, how a handover is done and how long it would take.
Who should not buy outside help
If your team already holds the supplier relationships and has a clear plan, an external contact adds a layer. Review the consultant versus agency comparison before adding one.
Worked example · Fictional example
A fictional committee asks three questions
Fictional organisation and figures, for illustration only.
The Jawatankuasa Fiktif Persidangan Pendidikan receives one proposal from an agency and one from an independent lead. Both appear to cost much the same.
They ask each: who does the work, who holds supplier contracts, and who covers absence. The answers show the agency proposal bundles more, while the independent proposal leaves supplier choice with the committee. They choose according to how much delivery they want to hand over.

Handle it in-house, or bring in help?
Your team can usually handle this when
- You hold the supplier relationships and a clear plan.
- A committee member has time to act as the contact.
- The event is simple.
Outside planning help earns its fee when
- Nobody has time to be the contact.
- You want an independent view of quotes.
- You want one party accountable for broad delivery.
Want an independent lead for the planning?
If you want a named person on your side, an Event Blueprint puts the scope, timeline, responsibilities and supplier requirements on paper first, so any lead or agency quotes against the same facts. A project lead can then coordinate within that scope. Try the engagement selector.
Questions organisers ask
Is an independent lead always cheaper?
Not always. Compare the full cost for the same scope, including supplier costs.
Can an agency account manager be independent?
They serve the agency, so ask how supplier choices and fees are decided.
What if my independent lead is unavailable?
Ask for the cover arrangement in writing before you start.
