Remote coordination handles planning, supplier follow-up, documents and decision tracking from wherever the coordinator works. On-site management adds a person who is physically present to make live decisions with the venue and suppliers.

Most events need both at different moments. Planning months are mostly remote work. Load-in, registration and the event itself are where presence matters.

Split by phase

Think of the project in three phases. Planning and supplier selection can usually be remote. Pre-event checks, such as a walk-through with the venue, benefit from a visit. The event days need someone present who knows the plan.

When remote coordination is enough

  • The event is a simple format with few suppliers.
  • Most of the need is documents, schedules and follow-up.
  • The venue provides its own coordinator on the day.

When someone needs to be on-site

  • Several suppliers arrive and must be directed on the same day.

  • Nobody on your team can speak for the organiser at the venue.
  • The event spans more than one room or one day.

What on-site does not mean

An on-site manager coordinates the plan and the people. Technical production, such as lighting, sound or staging, remains with the specialist suppliers you appoint.

A fictional forum splits its support

The Persatuan Fiktif Perancang Bandar holds a one-day forum for about 150 people at a venue in the Seremban area. Its secretariat has two staff who will attend.

The committee asks for remote coordination for the planning months, one in-person venue walk-through, and an on-site manager for the event day only. The secretary lists the three phases in a table, and asks the provider to state clearly who covers each task.

Only as a back-up for documents and questions. Someone present must make live decisions with the venue and suppliers.

Is on-site management only for large events?

No. It depends on whether live decisions are needed and who on your team can make them.

Can a provider cover both?

Yes, if the scope states which tasks are remote and which are on-site, and the attendance dates are agreed in writing.
