Equitable sponsor visibility across hybrid audiences

A sponsor asks what their package gives them online, and the existing sponsor benefits were written for the room only.

The short answer

List each sponsor benefit by where it appears and what the organiser can actually deliver: in the room, in the online programme or in both. Then describe it by what is shown, not by how many people will see it.

The organiser coordinates what has been agreed with each sponsor. It does not promise audience size or attendance, and it does not need to match the room benefit one-for-one online.

Why in-room benefits do not translate directly

A stand in the foyer gets footfall from people walking past. A remote delegate has no foyer, so the same benefit online becomes a banner, a message or a slot in the programme.

Treat the online version as a different benefit with its own description, not a copy of the room one.

Write benefits as what is shown, not who sees it

  • Say a logo will appear on the opening slide and the platform page, not that it will reach a number of viewers.
  • Describe the number and length of mentions in the programme.
  • State which sessions are streamed and recorded.
  • Report only what the platform supplier and your registration data can actually show.

What fairness looks like between sponsors

Sponsors at the same level should receive comparable online benefits, even if the placement differs. Write the online benefit for each level once and apply it to all.

If a sponsor asks for more than the tier states, treat it as a change request: the programme owner decides, finance sees the cost and the supplier confirms feasibility.

Coordinate delivery and reporting

Agree who supplies artwork, who approves proofs and who reports after the event. Ask the platform supplier what data it can provide, and let sponsors know before the event what the report will contain.

Worked example · Fictional example

A fictional banking association writes a three-tier sponsor schedule

Fictional organisation and illustrative figures. The sponsorship sales are handled by the association itself.

The fictional Persatuan Perbankan Contoh has 3 sponsor tiers and 8 sponsors. Its secretariat writes the benefits for each tier twice: once for the room and once for the online programme. Tier 1 has the opening slide, one named mention per day and a resource page link; Tier 2 has a closing slide and a resource page link; Tier 3 has a logo on the platform page.

The secretariat agrees to report on the number of resource page clicks and which sessions were streamed, because the platform supplier confirms those can be reported. It does not promise audience numbers.

  • Sponsor agreements already state what is delivered.
  • One person owns sponsor communication.

Who handles a sponsor's request for extra online exposure?
