Checking connectivity evidence before booking a hybrid-event venue
The venue brochure says the building has fast Wi-Fi, and your hybrid event depends on a live stream that cannot afford to drop.
Optional: send a short event brief

Hi, I'd like to discuss professional-event planning support. The short answer
Before booking, ask the venue for test evidence tied to your own setup: which line carries the stream, who owns it, what was tested, when, and what the fallback is. Record each reply with its sender and date.
A published Wi-Fi claim describes the venue's general service. It does not show that your stream, from your position in the room, will hold for the length of your programme.
A published claim is not a test
Wi-Fi figures on a venue sheet usually describe the service in general. Your stream has a specific upload need, a specific room and a specific moment when the room is full of phones.
Keep three things apart: what the venue states, what the venue has tested for a comparable event, and what is confirmed for your event in writing. Plan only from the third.
Log each venue reply in the venue site-visit evidence log, and ask for the same evidence when you run the site visit.
What to verify for the venue
Each check is a question with who answers it.
- Which connection will carry our stream: venue Wi-Fi, a dedicated wired line, or our own carrier link? Answered by the venue and, for our own link, the organiser.
- Who owns that line, and who do we call on the day if it fails? Answered by the venue or its network provider.
- What was tested, in which room, on what date, and can we see the result? Answered by the venue.
- Is the line shared with other tenants or events at the same time? Answered by the venue.
- Can our stream provider test on site before the event, and who grants access? Answered by the venue and the stream provider.
- What is the fallback if the primary line drops, and who pays for it? Answered by the venue and the organiser.
- Does cabling or equipment installation need building-management permission? Answered by the venue.
Where the place matters, and where it does not
Connectivity depends on the building's network, not on the district, so a venue in Kuala Lumpur, Petaling Jaya or Seremban answers the same questions. What changes with the address is who to ask about building works, such as cabling: DBKL, MBPJ and MBS each run their own portal for their own area, and a full address decides which applies.
MCMC is the national communications regulator. This page did not open any MCMC rule on venue Wi-Fi, so it makes no regulatory claim and keeps the question with the venue and its provider. Approval ownership for the premises is in who verifies local approvals.
Worked example · Fictional example
A fictional professional-body forum
Fictional organisation and figures, for illustration only.
A fictional accountants' association plans a hybrid forum with two remote panellists. The venue sheet lists Wi-Fi, but the reply to the evidence request shows no test for a live stream and a line shared with a neighbouring tenant.
The secretariat asks for a dedicated wired line and an on-site test slot, and records both as "not yet confirmed" until the venue replies in writing. All details are illustrative.
Use this yourself
Venue connectivity test-evidence request
Send to each shortlisted venue. Leave the answer column as "not yet" until a written reply arrives.
| Question to the venue | Who answers | Answer and date | Fallback or follow-up owner |
|---|---|---|---|
| Which line carries our stream, and who owns it? | Venue or network provider | not yet | |
| What was tested, in which room, on what date? | Venue | not yet | |
| Is the line shared with other tenants or events? | Venue | not yet | |
| Can our stream provider test on site beforehand? | Venue and stream provider | not yet | |
| What is the fallback if the line drops, and who pays? | Venue and organiser | not yet | |
| Is any installation subject to building-management permission? | Venue | not yet |
Handle it in-house, or bring in help?
Your team can usually handle this when
- A small hybrid session with one remote speaker and a venue that readily shares written test results.
- Your own stream provider is appointed and will test on site.
Outside planning help earns its fee when
- The programme depends on several remote speakers or a long live stream.
- The venue replies in general claims and will not give test evidence.
- Several venues must be compared on the same evidence before a deadline.
Want the evidence request run for you?
A project lead can send the request above to each shortlisted venue, chase written replies and set the answers beside your programme needs. This sits inside an agreed project-lead scope or an Event Blueprint and does not include network engineering or technical production. Share the programme and the venue sheets you hold.
Questions organisers ask
Is the venue's Wi-Fi speed enough?
A stated speed does not show that your stream will hold. Ask what was tested, where and when.
Who should own the fallback?
Agree it in writing with the venue and your stream provider, with a named person for the day.
Does the district change the questions?
No. The building's network decides the answers, though the council covering the address matters for building works.
Is there a local office?
No office is claimed. On-site arrangements are agreed for the particular brief.
