Coordinating load-in slots at a multi-tenant conference venue

When several tenants share one loading area, a supplier who arrives without an agreed slot can block someone else, or be turned away.

The short answer

Ask the venue for the loading and lift constraints in writing, then give each supplier a named slot that the venue has approved. The timetable lists slot, supplier, route and who meets them.

This page states no lift size, load limit or time. Those come from the venue, and any engineering or rigging judgement belongs to a qualified party.

Building the delivery timetable

Use the venue load-in and delivery-slot planner to lay the slots out. Start from what the venue confirms, then fit suppliers into it.

  1. Collect the venue constraints: which loading point, which lifts and what the other tenants use them for.
  2. List every delivery and collection with its supplier, item type and route.
  3. Propose slots to the venue and record its approval against each one.
  4. Send each supplier its own slot, entry point and meeting person.
  5. Keep a fallback instruction for a missed slot, agreed with the venue.

What to verify at a shared venue

Each check is a question with who answers it.

  • Which lifts and loading points may suppliers use, and who else uses them? Answered by the venue or the building management.
  • Does the venue or building require a booking for each slot, and who confirms it? Answered by the venue.
  • Who confirms the item types a lift or loading route can take, and is that confirmation written? Answered by the venue. The organiser does not make engineering or rigging conclusions.
  • Which building-control contact applies to the property if a structural question comes up? MBPJ and MBS list building-control services on their own portals for their areas, and the right council depends on the full address. Answered by the venue and the council.
  • Who is the escalation contact at the loading point during delivery hours? Answered by the venue.

Where this page stops

This page owns the timetable, not the route or the entrance. Entrance evidence sits in verifying the correct entrance, parking instructions in delegate and supplier parking, and the visit that collects the constraints in running a venue site visit.

Worked example · Fictional example

A fictional trade conference

Fictional organisation and figures, for illustration only.

A fictional trade council has an audio-visual supplier, a caterer and a signage printer who all want the same loading point. The venue approves three separate slots and one shared lift booking.

The timetable records the venue approval beside each slot, and the printer is told its item type needs the venue to confirm the lift before booking. All details are illustrative.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • Few suppliers, a single venue contact and written confirmation of the loading route.
  • Deliveries do not overlap and no special items are involved.

Outside planning help earns its fee when

  • Many suppliers overlap and the venue approves slots one by one.
  • Other tenants or events compete for the same lift or loading point.
  • A supplier asks for an engineering or rigging decision the organiser cannot make.

Want the delivery slots coordinated?

A project lead can collect the venue constraints, draft the timetable, obtain the venue approval for each slot and brief each supplier. This sits inside an Event Blueprint or an agreed project-lead scope, and excludes engineering or rigging certification. Send the supplier list and the venue contact.

Questions organisers ask

Can this page tell us lift or load limits?

No. The venue confirms them in writing for your items.

Who approves a delivery slot?

The venue or building management. Record the name and date.

What if a supplier misses its slot?

Follow the fallback instruction agreed with the venue in advance.

Is there a local office?

No office is claimed. On-site arrangements are agreed for the particular brief.
