Writing separate delegate and supplier parking instructions
Delegates and suppliers arrive in different vehicles with different needs, and a single parking message sends one of them to the wrong place.
Optional: send a short event brief

Hi, I'd like to discuss professional-event planning support. The short answer
Write two instruction sets: one for delegates covering drop-off and authorised parking, and one for suppliers covering delivery loading and where vehicles wait. Send each only after the venue or building operator has confirmed the points in writing.
This page states no parking rules, rates or availability. The venue, the building operator and the local authority answer those for your date.
Three different needs, two instruction sets
Passenger drop-off, delivery loading and authorised parking are three separate things, and each can have a different owner. Build the delegate set in the delegate arrival instructions builder and plan supplier slots with the venue load-in and delivery-slot planner.
- Delegate set: where passengers may be dropped, where authorised parking is and who confirms it.
- Supplier set: the delivery loading point, the slot given by the venue and where vehicles wait after unloading.
- Both sets: the escalation contact and what to do if the stated place is full or closed.
What to verify for parking instructions
Each check is a question with who answers it.
- Which areas are authorised for delegate parking, and under what conditions? Answered by the venue or building operator, in writing.
- Where may passengers be dropped without blocking others? Answered by the building operator.
- Where do delivery vehicles load, and who allocates the slot? Answered by the venue.
- Which authority covers the street if vehicles stop outside the premises? DBKL's portal identifies it as Kuala Lumpur City Hall for Kuala Lumpur venues, and other areas have their own councils, so confirm from the full address. Answered by the local authority and the venue.
- If any temporary traffic arrangement is proposed, who is competent to approve it? Police traffic matters sit with PDRM, whose portal names a traffic enforcement department. Use the local event-approval ownership planner to record who answers. Answered by the venue, the local authority and police.
- Who updates the instructions if the venue changes the arrangement? Answered by the organiser.
Keep the two sets apart
Do not send supplier loading details to delegates or the reverse. Role-based arrival for speakers and VIPs sits in separating speaker, VIP and delegate arrival plans. The entrance question sits in verifying the correct entrance.
Worked example · Fictional example
A fictional trade seminar
Fictional organisation and figures, for illustration only.
Seminar Fiktif Rantaian Bekalan has delegates arriving by car and two suppliers delivering staging items. The secretariat prepares two sets and asks the venue to confirm each point.
The venue confirms the delegate drop-off and gives a delivery slot to each supplier. A change of loading point is sent only to suppliers. Figures are illustrative.
Use this yourself
Two parking instruction sets
Complete both sets. Mark any line pending until the venue confirms it in writing.
- Delegate set: drop-off point and who confirmed it:
- Delegate set: authorised parking area and conditions as stated by the venue:
- Delegate set: what to do if the area is full or closed:
- Supplier set: delivery loading point and who confirmed it:
- Supplier set: slot given by the venue for each supplier:
- Supplier set: where vehicles wait after unloading:
- Authority for the street checked and date:
- Temporary traffic arrangement proposed and who is competent to approve it:
- Escalation contact for each set and hours:
- Date confirmed and by whom:
Handle it in-house, or bring in help?
Your team can usually handle this when
- One delivery and a small group of delegates, with written venue instructions.
- The venue supplies both sets in writing.
- One person can answer questions from both groups.
Outside planning help earns its fee when
- Several suppliers need slots and the venue answers slowly.
- Parking sits across several operators or an unclear street.
- Last-minute changes must reach the right group quickly.
Want both instruction sets confirmed and sent?
A project lead can collect the venue's written answers, prepare the delegate and supplier sets, and keep them separate when the arrangement changes. Coordination of the booked suppliers can sit within the agreed scope. Send the venue, the supplier list and the dates.
Questions organisers ask
Can this page say where to park?
No. The venue or building operator confirms that.
Why two sets?
Delegates and suppliers have different needs and different owners of the space.
Who approves a temporary traffic arrangement?
Ask the venue, the local authority and police. Record who answers.
Is there a local office?
No office is claimed. On-site arrangements are agreed for the particular brief.
