The short answer

The builder turns confirmed venue details, event time, ways to arrive and an escalation contact into plain instructions you can edit and send. Each reference link is labelled: verified with the date you checked it, or not verified by the organiser.

The instructions do not promise live transport information and the tool never asks for anyone's location.

What to enter

  • Confirmed venue name and address, copied from the venue confirmation rather than from memory.
  • The entrance to use, the event date, the start time and, if you want, a time to arrive by.
  • Ways to arrive: for each, what to do in your own words, an optional reference link, whether you opened and checked it, the date checked and the source.
  • A role to contact if something goes wrong, and how to reach that person on the day.

How links are labelled

A link is shown as checked by the organiser, with the date, only when you tick that you opened the source and give the date. Every other link is labelled as not verified by the organiser, with a line telling the reader to check it before travelling.

A reference that is not a full web address is shown as plain text and labelled the same way. Links that could run code are refused.

What is left to confirm

Anything you leave blank appears as [to be confirmed], and the tool lists the missing items so you can settle them with the venue before sending. Nothing is filled in on your behalf.

Ask the venue for the entrance, the loading and parking arrangements and any access details, and quote what they send you.

Limits

Timetables, routes and road conditions change. The instructions say they are not real-time and tell readers to check the transport operator's own current information on the day.

Use the location comparator and the venue shortlist matrix earlier, when the venue is still being chosen, and record who sends the note in the decision log.

A fictional association enters a venue, address, date and start time. One rail reference is ticked as checked with a date, so it is shown as checked by the organiser on that date. A ride-hailing reference is not ticked, so it is labelled not verified by the organiser.

The entrance is blank, so the note shows it as to be confirmed and lists it as missing. A closing line states that the note is not real-time.

Use this layout on paper. Write only details the venue has confirmed.

  1. Event name, date and start time. Time to arrive by, if you want one.
  2. Venue name, full address and the entrance to use.
  3. Each way to arrive: type, what to do, reference link, date you checked it and the source.
  4. A line for links you have not checked: not verified by the organiser, check before you travel.
  5. A line that the note is not real-time and readers should check the operator's current information on the day.
  6. Who to contact if something goes wrong, and how to reach them on the day.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • The venue is confirmed, the ways to arrive are few and one person can check the sources.
  • Delegates only need one clear note before the event.

  • Delegates and speakers need different instructions and several entrances or sessions are involved.
  • Venue details are still changing and someone has to chase confirmations and keep the note current.

Questions organisers ask

Does the tool find the best route?

No. It uses only the details and references you enter and does not look anything up.

Does it use my location or the delegate's?

No. The tool does not ask for or use anyone's location.

When is a link shown as verified?

Only when you tick that you opened the source and give the date you checked it. Every other link is labelled as not verified by the organiser.
