Verifying the correct entrance when a venue shares a large development

A venue sits inside a development with several entrances, and a map pin may send delegates to a door that is not the registration entrance.

The short answer

Record the route from the named gate or entrance to the registration desk, and have the landlord or building operator confirm it in writing. Use that record, not a map pin, as the source of every delegate instruction.

This page names no entrance in any development. Only the venue and the landlord or operator can.

The evidence record

Capture the evidence during a site visit and keep it in the venue site-visit evidence log. The record links each instruction to a confirmation.

  • Entrance name or number as used on the ground and by the operator.
  • The route to registration in steps, with landmarks that are fixed signs or named areas.
  • Photographs taken with the venue's permission, with date.
  • Who at the landlord or operator confirmed it, and how.
  • Which entrances delegates must not use, if the operator says so.

What to verify in a shared development

Each check is a question with who answers it.

  • Which entrance does the venue tell delegates to use for registration? Answered by the venue, in writing.
  • Is that entrance run by the venue, the landlord or another operator, and are its opening hours the same as the event's? Answered by the landlord or building operator.
  • Do separate entrances apply to delegates, speakers and suppliers? Answered by the venue and operator.
  • Does the development include a rail or transit connection, and what does the operator say about its exits? Prasarana's page states it carries out transit-oriented development projects and lists its rail networks, so ask whether a rail operator is a party and read its station information for your date. Answered by the rail operator.
  • Which authority covers the development's address? DBKL's portal identifies it as Kuala Lumpur City Hall, and a development may sit across more than one authority, so confirm from the full address. Answered by the local authority and the venue.
  • Who updates the record if signs or access change before the event? Answered by the organiser and the venue.

Why a map pin is not evidence

A pin shows a point, not which door is open, staffed or meant for your event. It is useful as a starting guess and never as the final instruction.

For role-based arrival see separating speaker, VIP and delegate arrival plans, for parking see separate parking instructions, and for accessible arrival see accessible arrival alternatives.

Worked example · Fictional example

A fictional professional conference

Fictional organisation and figures, for illustration only.

Persidangan Fiktif Perakaunan Awam is held in a venue inside a large development. The secretariat visits, photographs the signed entrance with permission and walks to registration.

The landlord confirms the entrance in writing and says another entrance is closed on the event day. The delegate message uses only the confirmed entrance. Figures are illustrative.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • The venue is a standalone building with one signed entrance and a written route.
  • The venue has already confirmed the entrance in writing.
  • A site visit is easy to arrange.

Outside planning help earns its fee when

  • The venue sits within a large development with several operators.
  • The venue and landlord give different answers.
  • Nobody can visit the site and keep the record current.

Want the entrance evidence gathered?

A project lead can arrange the site visit, collect the written confirmation from the venue and landlord or operator, and turn the record into delegate instructions. Coordination can sit within the agreed scope, with on-site arrangements agreed for the brief. Send the venue name and the event date.

Questions organisers ask

Can this page tell us the right entrance?

No. The venue and landlord or operator confirm it.

Why not just share a map pin?

A pin does not show which door is open or meant for your event.

What if the venue and landlord disagree?

Record both answers, ask for a single written confirmation and delay the instruction until you have it.

Is there a local office?

No office is claimed. On-site arrangements are agreed for the particular brief.
