Comparing outcomes fairly between KL, Selangor and Seremban editions

An association has run the same programme in three areas and wants to know which edition did best, without being misled by different starting conditions.

The short answer

Before comparing, write down for each edition its goal, its invitation list and its capacity, then record what was achieved against that goal in the event benefit evidence tracker. Compare each edition against its own goal first, and only then across editions.

This page contains no benchmark and no results. Every figure comes from your own records.

Compare like with like

A raw count of attendees is not a fair comparison if one edition invited a national list and another a regional one, or if one room was smaller. Rates and goal-based measures are fairer than totals.

Say in the plan which measures are comparable and which are not, so a reader does not over-read the table.

What to verify before comparing editions

Each check is a question with who answers it.

  • What was each edition's stated goal, written before it ran? Answered by the committee, from its own papers.
  • Who was invited to each edition, and how were lists built? Answered by the secretariat. Lists that differ in size or kind cannot be compared on totals.
  • What was each venue's confirmed capacity and set-up for the day? Answered by each venue, in writing.
  • Were the same measures recorded the same way at each edition? Answered by whoever kept the records.
  • Which differences were outside the committee's control, such as an external event on the date? Answered by the committee, as a note, not as an excuse.

How the three editions differ for this decision

The reliable differences are the ones you record: goal, list, capacity and date. The area itself is not assumed to explain a result.

Administrative differences, such as the council that applies (DBKL, MBPJ or MBS, whose site lists Bandar Nilai among its towns), do not by themselves explain attendance or outcomes.

Worked example · Fictional example

A fictional three-edition comparison

Fictional organisation and figures, for illustration only.

A fictional engineering society ran one forum in each area. The KL edition aimed to reach new members, the Selangor edition to retain existing members, and the Seremban edition to pilot the format.

The plan compares each edition with its own goal and lists attendance only as a rate of the invitation list. It makes no claim about which area is better. All details are illustrative.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • Two editions with similar goals and lists and one person who holds all the records.
  • A first pilot where the only aim is to learn.

Outside planning help earns its fee when

  • Editions had different goals, lists or room sizes and the committee still wants one ranking.
  • Records were kept differently at each edition.
  • The committee needs to justify a decision on future editions to its members.

Want the comparison plan built on your own records?

Recurring programme management can set up the comparison before the next edition, so goals, lists and measures are recorded the same way each time. If it is unavailable for your dates, the same work can be scoped as an outsourced conference project lead. Send the goals and records you have.

Questions organisers ask

Which area performed best?

This page does not say. It shows how to compare your own records fairly.

Is attendance the right measure?

Only as a rate of the invitation list, and against the edition's own goal.

Can we compare editions with different goals?

Compare each with its own goal first. A cross-edition table needs caveats.

Is there a local office?

No office is claimed. On-site arrangements are agreed for the particular brief.
