The short answer
Give every venue fact in last year's file a date read and a recheck-by date, then ask the venue to confirm each one in writing for the new date. Use the conference materials and translation-version checker to find where old facts also sit in attachments.

Access arrangements, confirmed capacities, quotation terms and named contacts all depend on the venue's current situation. A venue can change its layout, policies, pricing or staff between events.
Record where each fact came from and when, so the register shows at a glance what needs rechecking.
What to verify when repeating an event
Each check is a question with who answers it.
- Which access routes and entrances are still in use, and is anything changed or under works? Answered by the venue, in writing, and seen at a new site visit.
- What capacity and room layout does the venue confirm for the new date? Answered by the venue, in writing. Do not carry last year's figure.
- Which quotation terms still apply, and which expire? Answered by the venue, in a fresh written quotation.
- Are the named contacts still in post and still the right people? Answered by the venue, by asking each contact to confirm.
- Has the applicable authority or approval route changed for the address? Answered by the organiser from the portal: DBKL, MBPJ or MBS.
How the venue's area affects this decision
The recheck is the same in each area. The checkable difference is which council's portal applies to the address, such as DBKL for Kuala Lumpur, MBPJ for Petaling Jaya, or MBS for Seremban and Nilai, whose site lists Bandar Nilai among its towns.
Where an address could sit under more than one authority, confirm the authority again rather than relying on last year's note.
