The short answer

Partnership outcome tracking compares what each partner agreed to provide, what the partner expected in return, and what the evidence shows happened. It uses the written agreement as the baseline.

Track outcomes for both sides separately. Record only results you can evidence, and mark the rest as not measured. This is about coordination and records, not about selling or guaranteeing partner results.

Start from the written agreement

List each partner and extract commitments exactly as written: contributions, visibility, access, deliverables, dates. Then list what the partner asked for or expected.

If commitments exist only in emails or conversation, write them down and ask the partner to confirm before the event.

Be careful with outcomes you do not control

  • Leads, sales or enquiries after the event depend on the partner's own follow-up. Record what was passed on, not what was won.
  • Share attendee data only where consent and the agreement allow it, as checked with the privacy owner. See follow-up ownership.
  • Avoid promising or implying partner results in the report.
  • Record disagreements openly, with each side's view.

Close the loop with each partner

  1. Send a short summary of what was delivered and what is open.
  2. Invite corrections on facts and agree a date for any follow-ups.
  3. Record agreed lessons for the next edition.
  4. File the final summary with the agreement so the next team can find both.

Worked example · Fictional example

Three partners at a regional conference

Fictional organisation and figures, illustrative only.

A fictional association had a venue partner, a media partner and a technology partner. The tracking table showed the venue and media partners delivered as agreed, while the technology partner supplied two of three promised items.

The report records the missing item as not delivered with the reason given by the partner, and notes that the partner's expected leads were passed on to them on a set date. What they did with them was not tracked and is marked not measured.

Your team can usually handle this when

  • There are one or two partners and the agreement is short and clear.
  • The partner is happy with a simple confirmation message.
  • Few attendee data issues arise.

Outside planning help earns its fee when

  • Many partners with overlapping commitments and unclear records.
  • Co-hosts or sponsors dispute what was agreed or delivered.
  • Attendee data or introductions raise privacy questions.

Questions organisers ask

Should we report partner sales or leads?

Report only what you passed on and what the partner confirms. Do not present results you cannot evidence.

What if the agreement was verbal?

Write the terms down now, send them to the partner for confirmation, and note that the record is after the fact.

Does this page cover finding sponsors?

No. It covers recording and reviewing what was agreed. Finding or selling partnerships is outside what a project lead does.
