Event finance handover pack
The project team is wrapping up, but a deposit refund and two supplier queries are still open and the finance contact was not in the loop.
The short answer
A finance handover pack gives the person or committee who takes over everything they need to finish and defend the event's money: the closing statement, the open items with owners and dates, supporting records, and the rules that were followed.
It is written for someone who was not there. If they cannot act on a page without calling you, add the missing context.
Who receives it and why
The receiver may be your finance contact, the next event's team, an auditor or a successor in the secretariat. Each needs the same core records, but a successor also needs to know what is still outstanding.
Name the receiver and the date the handover is accepted. After that date the open items belong to them.

Handover steps
- Freeze the records at a stated date and note any later changes separately.
- Assemble the eight parts in one folder with a contents page.
- Mark every open item with owner, next action and date, and confirm the owner has agreed.
- Walk the receiver through the pack in a short meeting and note questions raised.
- Record acceptance in writing, with the date and the name of the receiver.
- Keep a copy for your own records, subject to your records policy.
Questions for your finance adviser
- How long the records must be kept and where.
- Who may see supplier bank details and personal data in the pack, under your data-protection rules.
- What the auditor or funder needs, in what form and by when.
- Whether closing items such as a late deposit refund need separate reporting.

A secretariat handing over after a two-day conference
Fictional organisation and illustrative figures only.
A fictional secretariat's project lead leaves when the contract ends, three weeks after the conference. The pack shows a closing statement within the committee's tolerance and four open items: a venue deposit refund, an invoice query of RM1,200, an expected credit note and one volunteer claim.
Each has a named owner and a date. The new finance contact accepts the pack in writing, and the treasurer reads the open items list at the next committee meeting.

Only if the receiver needs them and your data-protection rules allow it. Keep them restricted.
Does the pack replace the audit trail?
No. It points to it. Supporting documents stay in their original records.
