Planning attendance evidence for learning-credit review

A credit body may ask for proof that people attended, and you can only collect it while the event is running.

The short answer

Ask the credit-granting body what evidence it needs before the event, then design the registration and on-site steps to capture exactly that. Typical items to ask about are identity, arrival and departure, session-level attendance and a link to the programme delivered.

Whether the evidence is enough is the body's decision, not yours. Your job is to capture it consistently and keep it safely.

Steps to plan the evidence

  1. Send the question pack below to the credit body and record the reply, as set up in managing certificates without claiming unapproved CPD credit.
  2. Choose the lightest method that meets the stated needs, then map it to the programme, including where the desk or scanner stands.
  3. Decide what counts as sufficient attendance, with the body, and write it in plain words for participants.
  4. Brief the registration supplier and desk staff, and plan how late arrivals and early leavers are recorded.
  5. Decide who holds the records, where, for how long, and who can see them. Ask your own data protection adviser about the personal data involved.
  6. After the event, reconcile the records, flag exceptions to a named person, and issue certificates only from the reconciled list.

Failure points

  • Learning later that the body wanted session-level evidence when only arrival was captured.
  • Sign-in sheets passed around the room, which are hard to read and easy to lose.
  • Records kept on one person's laptop with no backup or owner.
  • No rule for late arrivals, so certificate decisions are made case by case.

A fictional pharmacy association symposium

Persatuan Fiktif Farmasi Komuniti holds a one-day symposium with 150 participants and three sessions. The body replies that it wants arrival and departure confirmation for the full day.

The secretariat plans a scan at the main entrance and a scan at exit, with two staff at each point. It asks the body how a participant who leaves for a meeting and returns should be treated, and the answer is recorded before registration opens.

Handle it in-house, or bring in help?

  • No credit is claimed.

Is a registration list enough evidence?

Only if the credit body says so. A list shows who signed up, not who attended.

Can we collect attendance by QR code?

Often yes, if the body accepts it. Ask the registration supplier how scans are recorded and exported.

How long should records be kept?

Ask the credit body and your own adviser, and write the period into your records policy.
