Setting participant prerequisites for an advanced masterclass

Your masterclass assumes real experience, and the first registrations suggest not everyone has it.

The short answer

Write prerequisites as things an applicant can show, such as having led a project or used a method, rather than years of service or job titles. Then decide how you will check them and who makes the call on borderline cases.

State the criteria on the registration page and in the confirmation, so people can decide before they pay.

Steps to set the criteria

  1. Ask the expert what a participant must already be able to do for the session to work, and write it as three or four statements.
  2. Choose how each statement will be checked, preferring the lightest method that works.
  3. Decide who reviews applications and by what date, and whether decisions are first come or by review.
  4. Write a decline-and-redirect message that points applicants to a foundation option, such as a seminar or earlier session.
  5. Tell the registration supplier which fields are mandatory and what the confirmation email must say.
  6. Keep the prerequisite records only as long as needed and decide who may see them. Ask your own data protection adviser what applies.

Handling applicants who fall short

  • Offer a place in a foundation session or a waiting list.
  • Allow an appeal to the named reviewer with evidence.
  • Do not make exceptions quietly; a visible rule keeps the room at one level.
  • If many applicants miss the same criterion, the criterion or the marketing may need rewriting.

Failure points

  • Prerequisites written as job titles that exclude capable people and admit weak ones.
  • No reviewer named, so decisions are made at the registration desk.
  • Criteria published after payment, causing refund disputes (see handling different levels of prior knowledge for a mixed room).

A fictional risk-management masterclass

Persatuan Fiktif Pengurusan Risiko offers a masterclass with 24 places for experienced practitioners. The expert asks that each participant brings one real risk register they have maintained.

Applicants complete a four-line form, and two committee members review them within five working days. Nine applicants are redirected to the foundation session with a message explaining why, and three of them re-apply later.

Should prerequisites be strict?

As strict as the content needs. If the expert will skip basics, the room must already know them.

Can we rely on self-declaration?

Often, yes, for low-risk content. Add pre-work or a reviewer if the level really matters.

What do we say to someone declined?

Give the reason in neutral terms, and offer a foundation option or waiting list.
