Choosing between a seminar, workshop and masterclass

The committee keeps using seminar, workshop and masterclass as if they meant the same thing, and the venue and pricing depend on which one you pick.

The short answer

Choose from what participants must do. If they mainly need to hear and question, run a seminar. If they must practise a skill in the room, run a workshop. If they already hold the basics and need depth from an expert, run a masterclass with entry criteria.

The label also sets expectations about numbers, room layout and level, so fix it before registration opens.

Decision sequence

  1. State the outcome in one sentence and underline the verb: understand, practise or refine.
  2. Check participant level. If level varies widely, see handling participants with different levels of prior knowledge.
  3. Decide how much of the day is practice. Under a quarter suggests a seminar, most of the day suggests a workshop. Plan the exercises with practical exercises within a professional seminar.
  4. For advanced content, decide entry rules using participant prerequisites for an advanced masterclass.
  5. Ask the venue to confirm in writing the participant number each layout allows.
  6. Name the event to match, and write one line telling participants what they will do.

Hybrids and how to label them

Many programmes mix formats, for example a morning seminar and an afternoon workshop. Label the day by its outcome, then label each half in the programme so participants know when to bring a laptop or a case.

Failure points

  • Calling a lecture a workshop, then facing disappointed participants.
  • Calling a mixed-level session a masterclass and losing both ends of the audience.
  • Choosing a theatre layout for a session that depends on group work.
  • Pricing and numbers set before the format is decided.

Worked example · Fictional example

A fictional supply-chain association

Fictional organisation and figures, for illustration only.

Persatuan Fiktif Rantaian Bekalan wants a half-day on supplier risk scoring for members. The first idea is a seminar for 120. The education owner notes that members must score a sample supplier themselves.

The format becomes a workshop for about 40, with a short framing talk, group scoring and a debrief. The venue is asked for a table layout and the quoted numbers change accordingly.

Format-choice worksheet

Fill in one line per question. If answers point two ways, split the day.

  1. Outcome in one sentence (underline the verb):
  2. Share of time spent on participants doing, not listening:
  3. Participant level range, and whether entry is checked:
  4. Layout needed, and participant number the venue confirms in writing for that layout:
  5. Label chosen, and the one-line promise to participants:
  6. Who approves the label (name):

Handle it in-house, or bring in help?

Your team can usually handle this when

  • The education owner knows the outcome and participant level.
  • The event is a single session with a standard layout.
  • Prices and numbers are not yet fixed.

Outside planning help earns its fee when

  • The programme mixes several formats across days or rooms.
  • Format, layout, numbers and pricing need to be reconciled with venue and finance.
  • The committee disagrees about what to call the event.

Need the format turned into room and supplier requirements?

An Event Blueprint can record the format decision and carry it into the session plan, layout request, participant limits to confirm with the venue, and materials list. The choice of format and the content remain with your education owner.

Questions organisers ask

Can one event be both a seminar and a workshop?

Yes, if each part is labelled. Participants should know in advance which parts are listening and which are doing.

Does a masterclass need a certain size?

No fixed number. The limit is how much attention the expert can give each participant, which the education owner decides.

Does the label affect any credit or recognition?

Credit is decided by the relevant body, not by the label. See managing certificates without claiming unapproved CPD credit.
