Recording sponsor-delivery evidence during an event

Three weeks from now a sponsor will ask what they actually received, and the answer depends on what someone noted today.

The short answer

For each contracted benefit, decide before the event what evidence will show it happened, who captures it and where it is stored. During the event, one person keeps a running log with time, place and a photo, note or screenshot.

Evidence shows delivery of a benefit. It does not show audience outcomes. Keep those apart, as explained in reporting sponsor reach honestly.

What counts as evidence for each type of benefit

Who records it

Name one evidence owner per session or zone, not one person for the whole event. A volunteer with a phone and a log sheet is enough if they know what to capture.

The sponsor liaison reviews the log at lunch and at close so gaps are found while they can still be fixed.

Habits that keep the log honest

  • Record what happened, including delays and changes, not what was planned.
  • Capture the sponsor's own team too if they ask, but do not stage photos to look better.
  • Mark an item as not delivered or partly delivered as soon as you know. See handling a benefit that cannot be delivered.
  • Store files in one shared folder named by date and benefit, not on personal phones.
  • Keep to what the sponsor agreed to. If photos show delegates, check your consent and privacy position with the competent person first.

After the event

  1. Collect all photos, notes and run sheets into the shared folder within two working days.
  2. Match each log line to a line in the deliverable tracker and set the evidence status.
  3. List anything with no evidence as unproven, not as delivered.
  4. Use the matched log as the base for the sponsor's report.

Worked example · Fictional example

A one-day congress with a hall sponsor and a lunch sponsor

Fictional organisation and figures, to illustrate the log.

A fictional nursing professionals' association has a hall sponsor with a banner and a lunch sponsor with a table. The liaison gives the hall volunteer a sheet listing the banner, the chair's thanks and a stage slide.

At 9:05 the volunteer photographs the banner in place. At 9:40 she notes the chair thanked the sponsor, with the time. The slide did not run in the afternoon because the session overran. The log says so, and the tracker marks it partly delivered.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • Few sponsors and benefits that are easy to photograph.
  • Volunteers are available and can be briefed for ten minutes.
  • The tracker already lists each benefit.

Outside planning help earns its fee when

  • Many sponsors across several rooms and a busy run sheet.
  • Staff are fully committed on site and nobody can be spared for logging.
  • Contracts are vague about what delivery means, so the evidence rules must be agreed first.

Questions organisers ask

Do we need photos for every benefit?

Not always. A timed note in the run log can be enough for a spoken mention. Choose the evidence type per benefit before the event and write it in the tracker.

Can we share the evidence with the sponsor?

Yes, as part of the report, once you have checked that photos of identifiable people are used in line with your consent and privacy position.

What if we have no evidence for a benefit?

Record it as unproven and tell the sponsor plainly. Do not reconstruct evidence after the event.
