The short answer

A delegate travel information pack gathers, in one place, the verified facts delegates need to arrive: venue address and entrance, event times, hotel and shuttle arrangements, what is the organiser's responsibility and who to contact. Every item carries a source and a date, and anything unconfirmed is labelled.

The pack states arrangements; it does not give visa advice or journey times. Entry questions go to the official immigration source for the delegate's nationality, and travel times to a live map or the transport operator.

What the pack is for

The pack replaces dozens of near-identical enquiries with one document sent at a planned time. It also becomes the single version the organiser, hotel, shuttle supplier and venue all work from.

It should be short enough to read on a phone. Detail lives in linked pages or attachments that you keep current.

Steps to build and send the pack

  1. List what delegates ask most often and make sure each has a section.
  2. Collect confirmations from the venue, hotel and shuttle supplier in writing, with dates.
  3. Label every transport reference as verified or not yet verified, and give the date checked.
  4. Add a plain line that delegates should check entry requirements with the official source for their own situation; do not state requirements yourself.
  5. Name who answers questions, and by what time on each day of the event.
  6. Send at a planned time, such as when registration is confirmed, and again shortly before the event with changes marked.

What the pack should not do

  • Give visa advice or say who needs a visa. Ask delegates to confirm entry requirements with the official source.
  • State journey times or distances. Link to a live map or operator page instead.
  • Promise that transport will run on time. Say what has been arranged and how delays will be communicated.
  • Recommend unverified travel services or imply the organiser sells travel.
  • Hide who is responsible. Say what the organiser arranges and what delegates book themselves.

A pack for a two-day members' conference

A fictional pharmaceutical-engineering society expects delegates from several states and from abroad. Its secretariat builds a pack with the venue address and entrance as confirmed by the venue, and links to the rail operator and the venue's own transport page, each marked with the date checked.

The pack lists the hotel booking route and its cut-off date, a shuttle between the hotel and the venue with pickup times as confirmed by the supplier, and one line asking international delegates to check entry requirements with the official immigration source. It names the operations coordinator as contact and states that the pack was last updated on a given date.

Questions organisers ask

Should we tell delegates whether they need a visa?

No. State a line asking delegates to check entry requirements with the official immigration source for their nationality and plans, and, if useful, link to that source after you have opened it.

Can we give estimated journey times?

Link to a live map or the operator's page instead of quoting a time. Conditions change, and a stated time becomes the organiser's promise.

When should we send the pack?

When registration is confirmed, and again shortly before the event with changes marked. Mark each version with a date.

Who should answer delegate travel queries?

A named person with a back-up, with set hours. Put the contact in the pack and route all queries to it.
