Event hotel room block questions

The hotel has offered a block of rooms for your delegates, and the contract arrives with terms you have not yet read closely.

The short answer

Before agreeing a room block, ask the hotel in writing what is held, for how many nights, until when, on what release terms, and what happens to rooms you do not fill. Record each answer with its date and the name of the person who gave it.

The answers feed the room-block tracker. Release dates and attrition terms are the hotel's quoted conditions; the tracker does not tell you what rights you have, and legal or contract questions go to your adviser.

Group the questions by decision

Questions fall into five decisions: what is being held, what you are committing to, how delegates book, when you can change the block and what it costs, and what the hotel does on arrival.

Asking by decision stops the conversation drifting into rates, which belong on a comparison sheet.

How to record the answers

  1. Send the questions in one email and ask for the reply in writing.
  2. Paste each answer against the question with the date and the name of the person.
  3. Mark any answer that depends on a clause in the contract and ask the hotel to point to the clause.
  4. Send the contract, with the answers, to your adviser for review on the points that carry risk.

What to watch for

  • A block described in total rooms when delegates will arrive on different nights.
  • A release date that is earlier than your registration timeline.
  • Verbal assurances that the contract does not reflect.
  • A rooming list deadline that arrives before registration closes.
  • Delegates told to book through a route that does not carry the block rate.

A hotel block for a two-night professional forum

A fictional pharmacists' society asks a hotel for 30 rooms for two nights and sends a single question sheet by email. The hotel answers on room types, dates and the date after which unbooked rooms are returned.

The secretariat notices the hotel's stated release date falls before registration closes. It asks whether the date can move, records the hotel's answer and sends the contract to its adviser before signing.
