How to build a contractor access list for an event venue

Twelve contractors will work in the venue before doors open, and the security desk has no list of who they are.

The short answer

A contractor access list records each person or team who needs to enter the venue to work, the company they belong to, the dates and areas they need and the contact who vouches for them. The venue decides what it needs from you, in what format and by when, so ask for its requirements before you build the list.

Treat the list as personal data. Ask the venue what it requires, how it will use and store the data, and send only what is needed.

Start from the venue's requirements

Ask the venue for its contractor access procedure in writing: what information it requires, whether contractors need induction or approval, how credentials are issued and the deadline for submission. See venue access credential rules for the credential side.

Some venues need individual names, some accept company labels with a headcount. Do not assume the format; confirm it.

A sequence

  1. Ask the venue for its procedure, template and deadline.
  2. Collect contractor details from your suppliers through one point of contact.
  3. Check each entry against the loading schedule and floorplan so dates and areas match.
  4. Submit the list to the venue by its deadline and keep the confirmation.
  5. Update the list for changes and tell the venue in the format it asks for.

Handling personal data

  • Collect only what the venue asks for, such as names and company, and avoid collecting identity numbers unless the venue states it needs them and explains why.
  • Ask the venue how it stores the data and for how long.
  • Limit internal circulation of the list to those who need it.
  • If you are unsure what personal data rules apply, put the question to your organisation's data protection contact or a qualified adviser.

Day-of management

Give the organiser's site lead a copy of the list and the contacts. Agree who admits late additions and how they are recorded.

After the event, ask the venue what it expects you to do with the data and confirm it is handled the same way.

A fictional engineering institute asks the venue for its contractor procedure. The venue wants company, role, names, dates and areas, with submission by a stated date. The project coordinator collects details from each supplier on the same template.

She checks each entry against the loading schedule, finds one supplier listed for a day when its slot is on another, corrects it and submits. The venue returns the list with two names marked as needing induction before arrival.

  • Changes during build are small.

Questions organisers ask

Who decides what the list must contain?

The venue. Ask for its procedure in writing and follow its format.

Should I collect identity numbers?

Only if the venue states it needs them and explains why. If in doubt, ask your data protection contact.

What about contractors added late?

Ask the venue how late additions are handled and who may approve them on the day.

Is this a security review?

No. This list supports coordination. Security decisions stay with the venue.
