  • What evidence exists for connectivity? Ask the venue to confirm in writing what connection is available in each meeting space, and test it on site with your own devices if you can.
  • How do delegates get to and from the site? Ask each delegate and agree the arrangements with any transport provider in writing.
  • What is the plan if weather affects the programme? Ask the venue what indoor space is available for each session and record the answer.
  • Who decides go or no-go on the offsite, and by when? Name the person and the date.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • The offsite needs little connectivity and the team can visit the site beforehand.
  • Delegates travel in their own vehicles and a venue contact answers in writing.

Outside planning help earns its fee when

  • Sessions depend on a connection and no one can test it on site.
  • Access, weather and venue questions need a coordinator to pursue them.
