The short answer
Support is offered for professional events in Kuala Lumpur, Selangor and the Seremban area including Nilai. Whether a project lead attends on site, on which days and for what purpose is agreed in writing for each brief.
If your event is outside this area, send the brief anyway. You will get an honest assessment of fit, including whether remote coordination would work or whether a provider closer to the venue would serve you better.
The coverage area
- Kuala Lumpur: see Kuala Lumpur support.
- Selangor: see Selangor support.
- Seremban area including Nilai: see Seremban and Nilai support.
- Putrajaya is treated only as a place where delegates travel from, not as a base. No office there is claimed. Use the delegate-origin comparator to weigh it as an origin when choosing a location.
How on-site attendance is agreed
On-site presence is part of the written scope, not an assumption. The scope states which days a project lead attends, what the lead does on those days and who the lead reports to.
Common agreed purposes are a venue walk-through, a supplier briefing, a run-through before the event and presence during the event. Each is a separate decision, and a brief can include some and leave out others.
How travel is handled
Travel and any related costs are discussed per brief and written into the scope or quotation before work starts. No standard travel terms are published here, because they depend on where the work is and how often a lead needs to attend.
Ask for travel to be shown as its own line, so your finance reader can see it separately from the fee. The fees and quotation page explains what a quotation should state.
If you are outside the area
An out-of-area brief gets an assessment, not an automatic yes or no. The assessment looks at whether the work can be done through documents and remote meetings, how much on-site presence the event really needs and whether the cost of travel changes the value of the support.
Where a local provider would suit you better, the honest answer says so.
Questions to settle before you approve a scope
- Which on-site days are included and which are optional?
- What does the lead do on site, and what stays with the venue and suppliers?
- How is travel shown in the quotation?
- What happens if the event dates or venue change?
- Who on your side is the contact on the day?
Worked example · Fictional example
A fictional enquiry from outside the area
Fictional organisation and figures, for illustration only.
A fictional engineering society based in another state plans a one-day forum in a venue in Selangor. Its secretary sends a brief that lists the venue, the date and three open decisions.
The assessment finds that planning, supplier requirements and the decision log can run remotely. It proposes two on-site days, one for the venue walk-through and one for the event, and shows travel as a separate line for the society's committee to approve.

On-site and travel agreement checklist
Fill this in with the project lead before you approve the scope.
- Event location and whether it is inside the coverage area:
- On-site days proposed, with the purpose of each day:
- Days the lead does not attend, and who covers on-site questions instead:
- Travel and related costs: shown as a separate line, basis stated:
- What triggers a change in on-site days (date change, programme change, new venue):
- Client contact on the day, with a named alternate:
- Remote working arrangements: shared files, meeting rhythm, decision log:
Handle it in-house, or bring in help?
Your team can usually handle this when
- Your venue and suppliers are local to your team and your team can be present throughout.
- You need only a template, not coordination.
- The event is small enough for one person to hold the plan.
Outside planning help earns its fee when
- Your team cannot be on site at the venue walk-through or on the day.
- You want one person to carry the plan between suppliers while your committee decides.
- You are comparing locations in the region and need the options set out on the same basis.
Is your event inside the coverage area?
Send the venue, the date and what is still open. A project lead can confirm fit, propose which on-site days are worth having and write travel into the scope as its own line. If the event is outside the area, you receive an honest assessment instead of a sales answer.
Questions organisers ask
Does the area include Putrajaya?
Putrajaya is treated as a place delegates may travel from, not as a coverage base. If your event is there, send the brief and the fit is assessed individually.
Is on-site attendance always included?
No. It is agreed per brief and written into the scope, with the purpose of each on-site day.
Are travel costs fixed?
No standard terms are published. Travel is quoted per brief and shown as its own line.
Can work be done remotely?
Much of the planning, supplier requirements and decision tracking can be. Whether that suits your event is part of the fit check.
