Local venue, supplier and approval evidence

Running a venue site visit in Kuala Lumpur with an evidence pack

A site visit that ends with impressions cannot settle a shortlist; one that ends with dated evidence can.

Opens WhatsApp with a draft you can edit before sending. Nothing is sent automatically.

Optional: send a short event brief

Every field can stay as Not decided. You review the full message before WhatsApp opens.

The short answer

Visit each shortlisted site in the same sequence: arrival and access, loading, the rooms your programme uses, then the questions that need the venue in writing. Leave with one evidence pack per site.

This page states no distance, walking time or capacity. What you observe and what the venue confirms go in the pack, each with a date.

A visit sequence for city-centre sites

Prepare the visit with the venue inspection checklist builder and record findings in the venue site-visit evidence log.

  1. Arrive as a delegate would, using the route the venue publishes, and note where the first sign or person appears.
  2. Walk the route a supplier would use to the loading point, and photograph each door, lift and ramp that the venue says is used.
  3. See each room your programme needs, in the layout the venue proposes, and record what is fixed and what can move.
  4. Ask the written-confirmation questions below and agree who sends the answers and by when.
  5. Complete the evidence pack the same day while observations are fresh.

What to verify for a Kuala Lumpur visit

Each check is a question with who answers it.

  • Which loading point and lift does the venue assign to suppliers, and is that the same as the delegate entrance? Answered by the venue.
  • Does the building have a separate operator from the venue, and who approves access outside the venue? Answered by the venue and the building operator.
  • Does the full address fall under DBKL, whose portal names it as Kuala Lumpur City Hall for Kuala Lumpur, or another authority? Answered by the venue and DBKL.
  • Which public transport services does the operator list for the area, for example Prasarana, which names LRT, monorail, MRT and stage bus services? Check the operator for your date, as this page states no route. Answered by the operator and the venue.
  • Are photographs and measurements allowed during the visit? Answered by the venue.

What this page leaves to other pages

This page owns the visit and its evidence. Entrance proof sits in verifying the correct entrance, delivery timing in coordinating load-in slots, and the area view is Kuala Lumpur.

Worked example · Fictional example

A fictional engineering society

Fictional organisation and figures, for illustration only.

Persatuan Fiktif Jurutera Industri shortlists three city-centre sites. Two visits are completed with the same pack; the third venue cannot show the loading area, so the pack records "not seen, written answer requested".

The committee then compares the packs, not memories. All details are illustrative.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • One or two sites, and the venue gives the same contact for every question.
  • The programme uses standard rooms and no special set-up.

Outside planning help earns its fee when

  • Several shortlisted sites need visits on the same day with consistent evidence.
  • The venue and building operator give conflicting answers on access.
  • Findings must be turned into a decision memo for a committee.

Want the site visits run with an evidence pack?

A project lead can prepare the inspection checklist, run or join the visits, and return one evidence pack per site that the committee can compare. This sits inside an Event Blueprint or an agreed project-lead scope, with attendance on site agreed for the particular brief. Send the shortlist and the programme.

Questions organisers ask

How many sites should we visit?

As many as the shortlist holds. Use the same pack for each so they can be compared.

Can this page tell us how long the route takes?

No. Observe it yourselves and record it as an observation with a date.

What if the venue will not show the loading area?

Record it as not seen and ask for a written answer before shortlisting further.

Is there a local office?

No office is claimed. On-site arrangements are agreed for the particular brief.
