Event planning tools

You want a worksheet or calculator for one planning task and need to know which tool fits and what happens to what you type.

Opens WhatsApp with a draft you can edit before sending. Nothing is sent automatically.

Planning tools by task

The short answer

Pick the tool by the decision you face now. The full list is grouped below with a search box. Each tool turns your own inputs into something you can print, copy or export.

Tools run entirely in your browser. What you type is not sent to this website, and nothing is saved unless you press Save.

How tool data stays in your browser

A tool does its calculation on your device. Nothing you enter is sent to the website, there is no account and the tools do not ask for personal details.

If you press Save, the tool stores your entries in your browser's local storage on that device. The Clear button removes them, and so does clearing your browser's site data. Saved entries do not appear on another device or browser.

Using a tool well

  • Enter what you know and leave unknowns as unknown. A tool that treats a missing value as zero would mislead you.
  • Check the result by eye before you use a number. If a ranking reads wrong, revisit the inputs.
  • Export or print what you need and take it to the person who decides.
  • Treat the outcome as a planning aid. It depends entirely on what you entered.

What tools do not do

Tools do not give legal, financial, safety, accessibility or compliance advice, and they do not check anything against a regulation. Where a tool raises a specialist question, it is for you to put that question to a qualified party.

Worked example · Fictional example

A fictional use of two tools

Fictional organisation and figures, for illustration only.

The coordinator of a fictional teachers' federation drafts a brief with the brief builder, leaving the date as undecided. She then uses the supplier matrix to compare two venues, keeping one criterion unscored because a quotation is missing.

She saves nothing, prints both worksheets and takes them to a committee meeting.

Tool choice and data-handling checklist

Run through this before you start entering data.

  • Decision I need to take now:
  • Tool I will use:
  • Inputs I know, and inputs I will leave as unknown:
  • Do I need to save, or will I print or export instead?
  • Device and browser I am using (saved entries stay on this one):
  • Shared computer? If yes, press Clear when finished.
  • Who will see the result, and what will they decide?

Handle it in-house, or bring in help?

Your team can usually handle this when

  • The tool covers a single, well-defined task.
  • You know your inputs and the decision owner.
  • You only need a printed worksheet.

Outside planning help earns its fee when

  • The result raises more questions than your team can answer.
  • Several tools' outputs must be joined into one plan.
  • You want someone to run the decisions the tool brings to light.

Want the tool outputs turned into a plan?

If you have used several tools and still need one written plan, an Event Blueprint can combine the brief, the supplier comparison and the budget summary into a scope, timeline and responsibilities. Send a brief and mention which tools you have used.
