The short answer
The comparator costs accommodation as room-nights, which is rooms times nights, and the meeting package as delegate-days, which is delegates times meeting days. The two are never added up as one headcount.
If a day rate already includes meals, no separate meal cost is added. Minimums, taxes and fees are applied only as the quote states them.
What to enter
- Rooms, nights, delegates attending and meeting days. Optionally, how many people stay overnight and how many share a room, to check your room count.
- For each package: room rate per room per night and day delegate rate per person per day, copied from the written quote.
- Meals: tick if the day rate includes them. If not, enter what you would pay separately per person per day.
- Minimum room-nights or delegate-days billed, and taxes and fees on top as a percentage. Enter 0 if the quote says none, and leave blank if you do not know.
How the costs are separated
Accommodation is billed room-nights times the room rate. The meeting package is billed delegate-days times the day rate. 20 rooms for 2 nights is 40 room-nights, while 40 delegates for 2 days is 80 delegate-days, and each is costed on its own count.
If a minimum is higher than what you plan to use, the tool bills the minimum and tells you how many extra room-nights or delegate-days that adds.
Meals and unknowns
Meals are added only when the day rate does not include them and you have entered a price. A package whose meals are neither included nor priced is shown as not comparable rather than as cheap.
A blank rate, or taxes and fees left blank, also makes a package not comparable. A blank is unknown, not free, and the package is named with the reason.
Reading the result
The price order covers only packages with every figure. Lowest price is not the same as best fit, so compare inclusions, cancellation terms and attrition clauses in the written quotes with the venue shortlist matrix alongside.
Record the choice in the decision log. For a conference with no overnight stay, the ticket break-even calculator is a better starting point.
Worked example · Fictional example
A fictional two-night conference
Fictional rates, to show the separation of rooms and delegates.
A fictional association needs 20 rooms for 2 nights and 40 delegates for 2 days, giving 40 room-nights and 80 delegate-days. Hotel A charges RM 300 per room-night and RM 150 per delegate-day with meals included, so accommodation is RM 12,000, delegates are RM 12,000 and no meals are added. With 10 percent on top the total is RM 26,400.
Retreat B charges less per night but bills a minimum of 50 room-nights, so it bills 10 more than planned, and adds RM 4,800 for meals bought separately. Centre C has no day rate yet, so it is shown as not comparable.

Handle it in-house, or bring in help?
Your team can usually handle this when
- There are two or three written quotes and every rate, minimum and tax line is stated clearly.
- The headcounts for rooms and for the meeting are settled.
Outside planning help earns its fee when
- Quotes are laid out differently and it is unclear what each includes.
- Room numbers, delegate numbers and minimums are still moving and attrition terms need negotiating.
- The committee wants one written comparison and the questions to put back to each venue.

Why separate room-nights from delegate-days?
They are counted differently. Rooms times nights is not the same figure as delegates times days, even when the numbers look alike, so each is costed on its own count.
How are included meals handled?
If the day rate includes meals, no separate meal cost is added, even if a meal price is entered.
What if the quote does not state taxes and fees?
Leave the field blank. The package is shown as not comparable until you confirm them in writing.
