Ways to work together

Events we plan

The short answer

The services run from a planning pack your team executes, to a project lead who coordinates delivery, to a temporary manager who works inside your team. Each has a defined scope, and each leaves programme and budget decisions with you.

Choose by the gap you have: a missing plan, missing coordination or missing capacity.

The services at a glance

Each service page sets out who it suits, deliverables, inputs needed, responsibilities, steps and the factors behind the fee.

ServiceThe gap it fillsWhat you receive
Event BlueprintNo clear plan yetScope, brief, timeline, responsibilities, supplier requirements and handover documents.
Outsourced conference project managementNobody to coordinate decisions and suppliersA project lead running coordination, decisions and delivery oversight within an agreed scope.

Planning diagnosticUnsure what is wrong or what to do firstA bounded review of your plan and a prioritised action list.
Recurring programme managementA calendar of member events with a small teamCoordination across an agreed calendar of events.
Agency project supportAn agency needs project leadership on a client eventWhite-label project support under agreed brand and client boundaries.

How to choose between them

  • Start with the Event Blueprint when the plan itself is missing or contested and your team can deliver once it is clear.
  • Choose project management when the plan exists but decisions, dates and supplier handovers need someone to run them.
  • Choose an embedded manager when the need is capacity inside your structure for a defined period.
  • Choose the diagnostic when the event is already under way and you need an outside read before committing further.
  • Services can be combined or sequenced: a blueprint first, then project management for delivery.

What every engagement has in common

  • A written scope that says what is included and what is not.
  • Responsibilities split between you, the project lead and specialist suppliers, as in who does what.
  • Programme, budget approval and stakeholder relationships stay with you.
  • Specialist work, such as venue operation, audio-visual production, catering and registration systems, stays with the suppliers qualified to deliver it.
  • A fee based on the scope, explained through the factors in fees and quotations.

The events these services are built for

The services are built for professional events: conferences, forums, seminars, roundtables, hybrid events and member programmes. Staff and internal events are a smaller part of the work and follow the same scoping approach.

General entertainment, weddings and public concerts are outside the focus of the services.

Where it applies

Coverage is Kuala Lumpur, Selangor and the Seremban area including Nilai. On-site attendance is agreed for each brief, so the scope states when a project lead is present and when work is done remotely.

Enquiries from other places get an honest fit assessment rather than a standard reply. See areas and on-site arrangements for how coverage is described.

Not sure which service fits?

The event brief builder turns what you know into a short brief you can send. It also works as input for any other provider you are comparing.

Use this yourself

Scoping checklist: brief any event provider with the same questions

Use these questions with this service or any other provider, so quotations can be compared on the same scope.

  • What exactly is included: planning, coordination, on-site attendance, reporting?
  • What is excluded, and who delivers it instead?
  • Who approves the programme, spending and changes to scope?
  • Which decisions does the provider make and which come back to you?
  • Which suppliers are already appointed, and who manages them?
  • How will progress be reported, and how often?
  • What does the provider need from you, and by when?
  • What are the factors that move the quotation up or down?
  • What is the handover at the end: documents, files, contacts?

Handle it in-house, or bring in help?

Your team can usually handle this when

  • The event is small, familiar and has one clear owner.
  • Your suppliers are appointed and each knows its scope.
  • Your team has time reserved for the event.

Outside planning help earns its fee when

  • Decisions are split across several people or committees.
  • Supplier handovers are going unmanaged.
  • The person who knew the event has left, or capacity is short for a defined period.

Want to match a service to your event?

Send the format, area and date window, along with where the pressure is: plan, coordination or capacity. A reply will name the service that fits and what its scope would need to include.

Questions organisers ask

Can I buy only the plan?

Yes. The Event Blueprint is a defined set of planning documents. Your team or your suppliers can execute from it.

Can services be combined?

Yes. A common sequence is a blueprint first, then project management for delivery. Each stage has its own scope.

Does a project lead replace my suppliers?

No. Suppliers deliver their specialist work. The project lead coordinates them and keeps decisions and dates moving.

Which areas are served?

Kuala Lumpur, Selangor and the Seremban area including Nilai, with on-site attendance agreed per brief.
