The short answer
This tool turns your answers into an editable event brief with a scope table, a list of open questions and the help you want. Anything you leave blank is shown as not decided, never filled with a guess.
Use it before a first supplier call or a request for proposal, so everyone quotes against the same facts.
What to have ready
- The purpose in one or two sentences: why the event exists and what should be different afterwards.
- Format and area, or the options still being considered.
- The date if it is fixed. If it is not, leave it blank.
- A headcount only if someone has actually estimated it. A blank is recorded as unknown, not zero.
- Decisions still to be made, each with an owner role and a date if you have one.
- Suppliers or venues already appointed or promised, and the team you have today described by role.
How to read the result
The brief table lists each section with its content and a status of Stated or Open. The open questions list shows exactly what a supplier or project lead would need to ask you.
Budget always appears as open. The tool never suggests a figure: enter the approved amount or range in your own document once finance has confirmed it.
What the tool does not do
It does not collect names, emails or phone numbers, so the export can be shared without contact details. It also does not check availability, prices or permits, and it does not decide the event format for you.
The English enquiry summary contains only choices and counts, such as format, area and the number of open questions. You choose which lines to share.
Next steps once the brief exists
- Send the brief to the decision owners and ask each to confirm or correct their section.
- Move every open question into a decision log with an owner and a date.

A fictional association's first brief
Fictional organisation and figures, to show how the tool treats unknowns.
A fictional professional society in Selangor wants an annual conference. It enters a purpose, picks conference and Selangor, leaves the date and headcount blank, and lists two decisions: choose the venue and approve the programme.
The brief shows date, headcount and budget as open, flags that the programme decision has no date, and lists seven open questions. Nothing is estimated for the missing items.

Handle it in-house, or bring in help?
Your team can usually handle this when
- One person can collect the answers and chase the decision owners.
- The format is familiar and the committee already agrees on purpose and audience.
Outside planning help earns its fee when
- Several committees or departments each own part of the decision and the brief keeps changing.
- Finance or procurement needs a defensible scope before any spending is approved.
- The last organiser has left and nothing was handed over.

Questions organisers ask
Can I use the brief if the date and headcount are not known?
Yes. Both stay open and appear in the open questions list. Suppliers can still respond to a brief that states what is undecided and who will decide it.
Why is there no budget field?
A budget typed into a form tends to be treated as approved. The tool records that the budget is open and leaves the figure to your own approval route.
Is my information stored?
Entries can be saved in your own browser and cleared at any time. The tool does not ask for contact details.
