The short answer

The tracker holds one row for each benefit in the signed sponsor agreement, with an owner, a due date, a status and the evidence that it happened. A benefit counts as fulfilled only when it is marked delivered and has proof of delivery or written sponsor approval, plus a reference you can find again.

An invoice is a payment record and a logo file is something the sponsor sent you. Neither shows that the benefit reached the audience, so a row with only those stays unproven and is never counted as fulfilled.

What to enter

  • Sponsor label and the benefit exactly as the agreement words it, for example logo on the programme or a slide before the keynote.
  • An owner by role, not by name, and the date the benefit is due.
  • Status: not started, in progress, or delivered. Delivered is your own claim until evidence is attached.
  • Evidence kind and a reference: a screenshot folder, a photo, a published link, or the sponsor's written approval.

What counts as evidence

Proof of delivery shows the benefit in place: a screenshot of the web page, a photo of the signage, the run sheet line where the slide played. Written approval is the sponsor confirming in writing that a benefit was delivered.

An invoice, a payment confirmation or a received logo file are administrative records. They are useful, but they sit in a separate column so that nobody reads a paid invoice as a delivered benefit.

Overdue and incomplete

Enter a check date and any benefit due before that date without evidence is flagged overdue. If you leave the date blank, overdue is not checked and the tool says so, rather than guessing from the calendar.

Rows are sorted so overdue and unproven items come first. The by-sponsor table shows how many of each sponsor's benefits are fulfilled, unproven, overdue or still open.

Reading the result

Even when every row has evidence, the tool reports that evidence is recorded, not that the sponsor is satisfied. Agree the outcome with each sponsor, and use the sponsor reporting checklist builder to turn the evidence into a report.

Worked example · Fictional example

A fictional two-sponsor conference

Fictional organisation and figures, to show the tracker.

Sponsor A has three benefits and Sponsor B has three. Sponsor A's website logo has a screenshot reference, so it is fulfilled. Its programme logo is marked delivered with only the logo file received, so it is unproven. Its keynote slide is still in progress.

Sponsor B's thank-you post is marked delivered with an invoice reference only, so it is unproven. Its exhibition table was due before the check date and has no evidence, so it is overdue. Of six benefits, one is fulfilled with evidence.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • There are a few sponsors, the benefits are simple and one person already tracks them.
  • Evidence such as screenshots and photos is easy to collect as things happen.

  • Many sponsors and benefits are spread across several teams and nobody sees the whole picture.
  • Benefits are late or disputed and the committee needs one agreed record.

Questions organisers ask

Why does an invoice not mark a benefit as delivered?

An invoice records payment or a request for payment. It says nothing about whether the logo, slide or table actually appeared, so it is kept apart from proof of delivery.

Can a logo file from the sponsor count as evidence?

Receiving the file shows you have the material. The benefit is delivered when the logo appears where the agreement says, which a screenshot, photo or published link can show.

What happens if I leave the check date blank?

Overdue items are not flagged and the tool tells you so. Nothing is assumed from today's date.

Does the tool store sponsor contact details?

No. Use organisation labels and roles only. Emails and phone numbers are rejected, and the data stays in your browser.
