The short answer

The builder turns each contracted benefit into a checklist line with two separate parts. The first part is evidence that the benefit was delivered. The second is the audience outcome, shown only when a measured figure and its source are both entered.

If a reach or attendance figure was never measured, the line says not measured. The tool does not estimate it, and an attendee list is not part of the default report.

What to enter

  • Sponsor label and the benefit as the agreement words it.
  • An evidence link or file reference, the report due date and an owner by role.
  • What was counted, the measured figure and where it came from, for example a registration system count on day one.
  • Leave the figure blank if nothing was measured. Blank is shown as not measured, never as zero.

Evidence and outcomes are different things

Evidence says the benefit happened: a screenshot, a photo, a run sheet line. An audience outcome says how many people were reached or attended, and that needs a count with a source.

A figure with no source is held out of the report and flagged. Quoting an unsourced number to a sponsor is the quickest way to lose trust when they ask how it was counted.

Attendee lists

An attendee list is never a default item. It appears only if you tick that a sponsor asked for it, and it is held until you record a written contracted basis for sharing it.

Even with a basis, sharing personal data needs its own consent and privacy check, which this tool does not do. Aggregate figures, such as attendance by job level, usually answer the sponsor's question without sharing people's details.

Using the checklist

The table lists evidence to attach, the audience outcome line, the due date and the owner, with items needing attention first. Edit it, export it and share the working copy inside the team before anything goes to a sponsor.

Worked example · Fictional example

A fictional sponsor report

Fictional organisation and figures, to show the checklist.

Sponsor A's website logo has a screenshot reference and no audience figure, so the line reads delivered with evidence, audience not measured. Its keynote slide has a registration count of 180 with a source, so that figure is reported with its source.

Sponsor B's mention in the closing remarks has a claimed reach of 300 but no source, so the figure is held out. Sponsor C asked for an attendee list but there is no written basis, so the request is held and aggregate figures are suggested.

Use this yourself

Use one block per sponsor. Fill the evidence column before the outcome column, and leave outcomes blank if they were not measured.

  • Each contracted benefit is listed exactly as in the agreement.
  • Each benefit has an evidence link or file reference, or is marked missing.
  • Each audience figure states what was counted and its source, or reads not measured.
  • No figure is estimated, rounded up or borrowed from another event.
  • Attendee lists are left out unless a written contracted basis exists and a consent check is done.
  • An owner and a due date are set for each line.
  • The checklist is reviewed internally before it goes to the sponsor.

Handle it in-house, or bring in help?

Your team can usually handle this when

  • The benefits are few and the evidence was collected as the event ran.
  • Audience figures come from a system count that someone can name.

Outside planning help earns its fee when

  • Evidence is scattered across teams and nobody can say what was delivered.
  • A sponsor is pressing for audience figures that were never measured.
  • The report needs a lead to gather evidence and agree what can be said.

What if reach was never measured?

Say so. The checklist reads not measured and no number is given. For next time, decide in advance what will be counted and by whom.

Why is an attendee list not included by default?

A list contains personal data and sharing it needs a clear basis and a consent check. Aggregate figures usually serve the sponsor's purpose.

Can I include a figure without a source?

The tool holds it out. Add the source, such as the system or count it came from, and it will be reported.

Is the checklist the report itself?

No. It is an editable working list to gather evidence and agreed figures before a report is written.
