The short answer
The tracker keeps a local list of sponsor prospects by organisation label, with a stage, the basis on which you may contact each, an owner, a next action and a date. The stages are explicit: uncontacted, contact planned, contacted, in discussion, declined and confirmed.
A prospect counts as committed only when it is confirmed and an agreement reference is given. In discussion is not committed, and confirmed with no reference is shown as an unsupported claim. The tool sends nothing, drafts nothing and keeps no contact details: each message is yours to decide on and send by hand.
What to enter
- An organisation label for each prospect. No personal names, emails or phone numbers: the tool rejects them.
- The stage, chosen from the list. A blank stage is shown as not set and is never treated as uncontacted.
- The basis on which you may contact the organisation, from your own record, for example an existing relationship or an enquiry it made.
- An owner role, a next action and its date, and, for a confirmed sponsor, the signed agreement reference.
What the tool holds back
- Contact planned or made with no recorded basis is held: record the basis before any message is sent.
- A declined prospect with a next action is flagged, so the action can be removed and the prospect is not followed up.
- A prospect marked confirmed with no agreement reference is not counted as committed.
- Active prospects with no owner or no next action, and next actions past the check date you give, are flagged.
Nothing is sent from here
The tracker is a list. It has no message, template or contact fields and does not schedule or send anything, so it cannot be used for mass outreach. A person decides on each approach and sends it by hand to a published business role.

Keeping the pipeline honest
A pipeline is a list of conversations, not of income. Keep signed money separate from conversations in progress, as set out in separating confirmed sponsor money from a sales pipeline.

Limits
The tool does not decide who may be contacted: the basis is your own record. It does not predict who will sponsor or put a value on any conversation.
Worked example · Fictional example
A fictional forum
Fictional organisations and dates, to show what is held, flagged and counted.
A fictional forum tracks seven prospects as at 1 February 2027. Organisation A is confirmed with an agreement reference, so it is the only one counted as committed. Organisation B is marked confirmed with no reference. Organisation C is in discussion with an overdue next action. Organisation D has been contacted with no recorded basis, and Organisation E declined but still has a next action.
The result shows one committed, one unsupported confirmation, one overdue action, one contact with no basis and one declined prospect to clear.

Handle it in-house, or bring in help?
Your team can usually handle this when
- A handful of prospects, one owner and a committee that approves each approach.
- Every conversation is with an organisation you already have a basis to contact.
Outside planning help earns its fee when
- Several people hold different conversations and the committee cannot see one consistent picture.
- Follow-ups slip, declined prospects are chased and signed agreements are not tied to the list.
- The pipeline must be kept in step with the inventory, approvals and the event timeline.

Can I record an email address or phone number?
No. The tool keeps organisation labels only and rejects emails, phone numbers and personal profile addresses.
