The short answer
For each meal session the calculator bills the larger of the headcount and the minimum you entered, then multiplies by the per-head charge you supply. It shows the cost under confirmed, low, expected and high counts, and how many meals you pay for beyond the people who attend.
A lower headcount does not reduce a fixed minimum guarantee automatically, so a session with a minimum of 100 and 80 guests is billed for 100 meals. If the quote and the contract give two different minimums, the tool holds the totals as provisional and asks you to clarify in writing.
What to enter
- The per-head charge exactly as the caterer quoted it. Add service charge or tax only if the caterer's own figure includes them.
- The guaranteed minimum, and a second figure if another document gives a different one.
- Whether the guarantee is fixed or can be revised before a change deadline, and that deadline.
- The confirmed count and up to three scenario counts: low, expected and high. Leave a count blank if you do not know it.
How the cost is worked out
Billed meals are the larger of the count and the minimum. Cost is billed meals times the per-head charge. The tool also shows the meals you pay for but do not use, and what they cost.
Where no minimum is entered, the count itself is used and the session is flagged, because the real bill may be higher once the contract is read.
Terms that need clarifying
Two minimums for one session, an unknown guarantee type or a change deadline that has passed are all flagged. The tool never picks the more favourable figure and never applies a reduction on your behalf.
A guarantee marked revisable is still billed at the minimum you entered. Enter the revised minimum once the caterer agrees in writing.
Limits
The tool uses only the charges and minimums you supply. It does not add tax, service charge, minimum spend or cancellation terms, and it does not interpret the contract.

A fictional seminar has a Day 1 lunch at RM 55 per head with a fixed minimum of 100, and 80 confirmed guests. It is billed for 100 meals, RM 5,500.00, and pays for 20 meals nobody eats, RM 1,100.00.
The Day 2 lunch has a minimum of 90 in the quote and 80 in the contract. The tool holds it as a conflict, shows the cost difference, and asks for written clarification before any total is relied on.
