Event weekly status report builder
The committee wants a weekly update that says where the event really stands, not a comforting colour.

The short answer
The builder turns milestones, risks, decisions required, budget status and next steps into one editable management report with a clear next-decision section.
There is no green rating. Missing data is shown as a gap, a milestone marked on track without evidence is reported as unverified, and every urgent decision is listed first and kept in the export.
What to enter
- Week ending date, which the tool uses to judge what is overdue.
- Milestones with due date, status, evidence and owner role. Choose on track or done only when you can note evidence.
- Risks with a level that is your own judgement, an owner and what is being done.
- Decisions required with who decides, a needed-by date and an urgent tick.
- Approved, committed and paid amounts in ringgit, and the next steps with owners and dates.
How the headline is chosen
The headline is one of three. Attention needed appears when a milestone is late, at risk or past due, a decision is urgent, a risk is high, or committed spend is above the approved budget.
Incomplete appears when nothing is flagged but data is missing. The third label, no flags in the data supplied, is not a rating and does not say the event is on track.
Urgent decisions
A decision is urgent if you tick it or its needed-by date has passed. All urgent decisions are listed first, earliest date first, and the first one becomes the next decision at the top of the report.
Nothing is truncated. If thirty decisions are urgent, thirty appear in the table and in the export.
Reading the gaps
Gaps list what is missing: unknown statuses, milestones without evidence, blank budget figures, no risks entered or no next steps. A blank budget figure is unknown, not zero.
Close the gaps before the report goes to the committee, and carry the decisions into your decision log. Use the change request builder for scope changes and the budget builder for costs.
Worked example · Fictional example
A fictional conference committee
Fictional organisation and figures, to show the report.
In a fictional weekly report, the venue contract is done with evidence, the registration page is late, the speaker line-up is on track but has no evidence and so shows as unverified, and one milestone has no status.
Three decisions are required. The AV supplier is ticked urgent and the ticket price decision has passed its needed-by date, so both are urgent. The headline reads attention needed, with the budget paid figure shown as not stated.
Use this yourself
Weekly status report
Copy this outline each week. Fill every section and write not known where you do not have the answer.
- Week ending, and who prepared the report
- Headline: attention needed, incomplete, or no flags in the data supplied
- Next decision: the decision, who decides and the needed-by date
- Decisions required, urgent ones first
- Milestones with status and evidence
- Risks with level, owner and action
- Budget: approved, committed, paid and a note
- Next steps with owners and dates
- Gaps in the data to close before sending
Handle it in-house, or bring in help?
Your team can usually handle this when
- A small committee with a short milestone list and clear owners.
- The same person has the facts and can write the report in under an hour.
Outside planning help earns its fee when
- Facts sit with many people and each week's report needs chasing.
- Decisions keep slipping and nobody follows them up.
- The committee wants an independent weekly view of progress and next decisions.
Want the weekly report produced for you?
A project lead can collect the facts from your team each week, draw up the status report with evidence beside each claim, and put the next decisions in front of the right people. Your committee keeps the decisions, and the scope of the weekly cycle is agreed in advance.
Questions organisers ask
Why is there no green status?
A colour can hide missing data. The headline only says attention needed, incomplete, or no flags in the data supplied.
What happens to on track milestones with no evidence?
They are reported as unverified and listed in the gaps.
Are all urgent decisions kept in the export?
Yes. Every urgent decision appears first in the table, with none dropped.
