The short answer

The builder multiplies each quantity by the quoted unit price, adds the tax or service amounts you enter, applies a contingency only if you choose one, and shows item totals, category totals and a grand total.

Every figure is one you typed. It applies no market rates, no default tax and no suggested contingency, and a line with an unknown price is listed and left out rather than counted as zero.

What to enter

  • Category and item for each line, so totals can be grouped.
  • Quantity and unit, such as 3 days or 10 pax.
  • Quoted unit price in ringgit. Leave it blank if not yet known. Enter 0 for something genuinely free. Enter a negative price for a credit or discount.
  • Tax or service amount for the line, as an amount given to you. Enter 0 if you know none applies.
  • Contingency as a percentage you choose, or leave blank for none.

Three different kinds of line

An unknown price is not the same as zero. A blank price or quantity puts the line in the list marked unknown and leaves it out of the total, and the grand total is labelled incomplete.

A zero price is a real value: the line counts and adds nothing. A negative price is a credit and reduces the total, and the credit total is shown separately.

How the totals are built

Each line total is quantity times unit price, rounded to the nearest sen. Tax and service amounts are added only for lines whose price is known. The contingency percentage applies to items plus tax, rounded to the nearest sen.

Totals are held in whole sen, so figures such as RM 4,410.88 are exact and not subject to rounding drift.

Limits

A budget built from quotes is only as complete as the quotes. Lines with no stated tax or service amount are flagged because the total may be understated.

Check totals against signed quotes before committing money, and use the ticket break-even calculator to test whether income can cover them. Record the approved version in your weekly status report.

Worked example · Fictional example

A fictional two-day forum

Fictional organisation and figures, to show the totals.

A fictional forum enters five lines: hall hire at 3 days times RM 1,250.50 with RM 225.09 tax, lunch at 10 pax times RM 33.33, an early booking credit of minus RM 300, interpreter booth with no price yet, and sponsor-provided lanyards at RM 0.

Items total RM 3,784.80, tax is RM 225.09, so the base is RM 4,009.89. A 10 percent contingency adds RM 400.99, giving a grand total of RM 4,410.88. The interpreter booth is listed as unknown and the total is marked incomplete.

Questions organisers ask

Does the tool suggest prices or a contingency?

No. It uses only the figures you enter and applies a contingency only if you type one.

What happens if a price is blank?

The line is listed as unknown, left out of the total and flagged. It is not counted as zero.

How do I enter a discount?

Enter a negative unit price. The line is treated as a credit and shown separately.
