The short answer
The tracker compares the rooms held each night with the confirmed bookings and shows what remains. It flags a duplicate booking reference and any night where bookings exceed the block, and it lists the dates the hotel quoted with the days left.
A release or cancellation date is shown as a date you were quoted. It does not by itself give you any legal right, and the tool never says what the contract allows. The scenarios use only the allowance and charge per unused room-night that you enter.
What to enter
- The rooms held in the block for each night, and the quoted rate per room-night if you want to see the value of unsold rooms.
- Confirmed bookings with a reference or label (not a guest name), check-in, check-out and number of rooms.
- The release date and cancellation or reduction date the hotel quoted, and an as-of date to count days from.
- The allowance for unused rooms and the charge per unused room-night, exactly as written in the quote. Leave them blank if you do not have them.
How bookings are counted
A booking counts on every night from check-in up to the night before check-out. The same reference with overlapping dates is treated as a duplicate and counted once.
Remaining allocation is rooms held minus rooms booked for that night. A negative remaining is flagged as over the block, so you can ask the hotel whether the extra rooms are inside the block or at another rate.
What the scenarios show
Each scenario is a final pickup you choose as a percentage of the block. The tool takes the unsold room-nights, subtracts the allowance you entered and multiplies what remains by the charge you entered.
If the allowance or the charge is blank, the exposure is shown as unknown, not zero. Taxes, service charges and any other term are not included.
Limits
A release date does not decide what happens to unbooked rooms. Ask the hotel in writing what the date means, and rely on the signed contract.

A fictional three-night block
Fictional organisation and figures, to show the calculation.
A fictional association holds 20, 20 and 10 rooms over three nights, with a quoted allowance of 10 percent and a charge of RM 250 per unused room-night. One booking reference appears twice for the same dates, so it is flagged and counted once, and one night has 22 rooms booked against 20, so it is flagged as 2 over the block.
At a final pickup of 50 percent, 25 of the 50 room-nights are unsold. After the allowance of 5, the 20 chargeable room-nights come to RM 5,000 on the terms entered.

Does a release date mean I can give rooms back?
Not by itself. A date is only what you were quoted, and the signed contract and the hotel's written confirmation decide what it means.
What counts as a duplicate booking?
The same reference entered twice with overlapping dates. It is flagged and counted once. The same reference on later, separate dates is treated as an extension.
Why is the exposure shown as unknown?
The allowance or the charge per unused room-night is blank. The tool uses only terms you enter, so it does not guess.
