The short answer

Add an appendix to every supplier quote that splits it into service cost, travel cost, on-site cost and overnight needs, each marked supplied, assumed or not stated. Compare suppliers only after the appendix is filled.

This page gives no rate and no travel time. Every number in the appendix comes from the supplier.

The normalisation appendix

Load the quotes into the event supplier quote normaliser and keep the appendix beside each one. The lines below are what the appendix separates.

  • Service cost: the work itself, as the supplier states it.
  • Travel cost: from where, how many people, and whether it is quoted or assumed.
  • On-site cost: time on site, set-up and clearing, and any local hire the supplier adds.
  • Overnight requirement: whether the supplier needs accommodation, who books it and who pays.
  • Local versus remote: which parts are done on site and which remotely, as the supplier describes.

What to verify before appointment

Each check is a question with who answers it.

  • Which origin does the supplier assume for travel, and does it change for a Kuala Lumpur, Selangor or Seremban site? Answered by the supplier.
  • Are travel, parking, accommodation and meals quoted lines, assumed lines or excluded? Answered by the supplier in writing.
  • Which site rules add on-site cost, such as access hours or supplier registration? Answered by the venue.
  • Where public transport is offered as an alternative, does the operator list the service for your date? Prasarana names its LRT, monorail, MRT and stage bus services on its portal; this page states no route or time. Answered by the operator and the supplier.
  • Does the Seremban or Nilai label hide a different local authority or site? MBS covers both districts on its portal, so confirm the exact address. Answered by the venue and MBS.

A fictional professional training day

A fictional training body receives two quotes for a facilitator. One lists travel and an overnight stay as separate lines, and the other shows a single fee with travel marked "not stated".

Can this page tell us a fair travel cost?

What if a supplier will not split its quote?

Mark the lines "not stated" and treat that as a risk when you decide.

Should remote work be quoted differently?

Ask the supplier to mark which parts are on site and which are remote.

Is there a local office?
