Building event travel buffers without promising fixed journey times

A programme start time depends on how long people take to arrive, and nobody can promise that figure months ahead.

Opens WhatsApp with a draft you can edit before sending. Nothing is sent automatically.

Optional: send a short event brief

The short answer

Replace a single journey time with a scenario table: for each route, a range you enter from a check made on a stated date, and the consequence for the programme start if the longer end applies. Re-check the ranges close to the event and change the start time or the message if they move.

This page supplies no journey ranges. They come from the operators and your own checks for your date.

How the scenario table works

Enter routes in the KL-Selangor-Seremban briefing circuit planner when the buffers cover site visits and briefings across areas. For delegate arrival, the same table logic applies to each group.

  • Route: origin group to venue by the mode you will use.
  • Range: lower and upper figure you enter yourself, with the source of each.
  • Check date: when the range was last confirmed, so it can be refreshed.
  • Consequence: what the upper end does to registration, the first session and speaker slots.
  • Decision: the buffer you adopt and who approved it.

What to verify for the buffers

Each check is a question with who answers it.

  • Which operators serve the routes, and what do they publish for your date? KTMB's portal lists KTM Komuter, ETS and Intercity and has a timetable menu with notices of operation changes, and Prasarana lists its LRT, monorail, MRT and stage bus services. Answered by each operator.
  • Does the route depend on a single service that might change? Answered by the operator's notices for your date.
  • Which delegates are travelling from outside the area, and when do they arrive? Answered by the organiser from registration.
  • Is the first session fixed by a speaker, a livestream or a regulator-facing deadline? Answered by the programme owner.
  • Who decides to delay the start if arrivals run late, and by when? Answered by the organiser.
  • When will the ranges be re-checked? Answered by the organiser.

Buffers are not a promise

A buffer is the organiser's own allowance. Do not publish a journey time to delegates as if an operator had promised it. Late finishes and last services are covered in events that end after the transport window, and project-lead travel effort sits in budgeting travel days.

Worked example · Fictional example

A fictional half-day forum

Fictional organisation and figures, for illustration only.

Forum Fiktif Kualiti Awam has delegates from two areas. The secretariat enters a lower and upper range for each route from checks made on a stated date.

The upper end for one route would push registration later than the first session, so the secretariat moves registration earlier and sends a message with an arrival window. Figures are illustrative.

Use this yourself

Handle it in-house, or bring in help?

Your team can usually handle this when

  • Delegates are mostly local and the start time has slack.
  • One route carries most people and its operator publishes clearly.
  • One person can recheck the ranges before the event.

Outside planning help earns its fee when

  • Delegates come from several areas and a fixed start is critical.
  • The programme includes a livestream or speaker slot that cannot move.
  • Nobody can recheck ranges and rewrite messages close to the date.

Want the buffer table built and rechecked?

A project lead can build the scenario table with you, collect the operator information for your date, and revise the programme start and delegate messages if the ranges move. Coordination can sit within the agreed scope. Send the routes, the first-session constraints and the date.

Questions organisers ask

Can this page give a journey time?

No. Enter ranges from the operator and your own checks.

Why record a check date?

Conditions change, and the date shows how old a range is.

Should delegates see the ranges?

Share an arrival window that you chose, not a promised journey time.

Is there a local office?

No office is claimed. On-site arrangements are agreed for the particular brief.
